POSITION SUMMARY:
Associate Director Data Systems & Communications represents the Admissions Office within the College of Arts Sciences, and Engineering at the University of Rochester. The position is a Slate-centric role that has supervisory responsibilities and is part of a highly skilled data systems and communications team. The role is integrally involved with every aspect of Slate, from configuring reader workflows to writing queries and reports related to every phase of the admissions and enrollment cycle. This position collaborates with key campus partners to think strategically to maintain and improve processes related to high-stakes data workflows in and out of Slate and other systems across the University IT landscape.
**SPECIFIC RESPONSIBILITIES:**
**Data Systems Administration and Leadership**
+ Builds, executes, and maintains all components of the Slate CRM (Customer Relationship Management) instance to ensure all phases and processes of the admissions/recruitment cycle are functioning appropriately and that they adhere to industry best practices necessary to support the recruitment, yield, and enrollment of incoming first year and transfer undergraduate students.
+ Oversees key systems integration, such as PowerFAIDS, UR Student/Workday, Front Rush (to recruit athletes), and Document Scanner software) with key stakeholders within Financial Aid and across the University to ensure internal data accuracy and timeliness of integrations.
+ Oversees accurate and timely data feeds related to admissions lead generation and inquiry campaigns. Serves as point of contact for all technological needs for a portfolio of vendors that provides information to generate names and purchase leads, conducts research, and models data (Encoura, College Board, Education Advisory Board, CAPPEX, YouVisit, and Carnegie Dartlet).
+ Manages external timeliness for accurate data flow of prospective student, families, and outside constituencies into Slate via collection portals, such as online forms, Search website and physical/virtual inquiry cards.
+ Ensures ethical and accurate internal data collection and reporting that is consistent with professional/industry best practices and standards and ensures data integrity through information security and access management protocols set forth by the University.
+ Represents the Office of Admissions during meetings of Slate Working Groups consisting of key campus partners across the University.
**Application Systems & Platform Management**
+ Manages yearly updates and mapping of data feeds associated with first year and transfer application platforms (Common Application, Coalition for College Application)
+ Collaborates with vendors, testing agencies and internal staff to ensure proper data and document collection related to all application processes including interviews done by 3 rd parties (SAT, ACT, AP, IB, TOEFL, Duolingo, InitialView, EPIC, etc.).
+ Supervises the integration of College Board’s Landscape tool within application reader and annual data share to understand applicants’ academic sphere of influence.
+ Manages internal applicant portal (MyROC) for delivery of applicant specific information (admissions decisions, merit awards, etc.)
+ Collaborates annually with application review team and senior admissions staff to review and implement changes to Slate’s application review portal and functionality, including reader forms, staff reader assignments, configuring bin management and workflow processes for multiple recruitments and admissions efforts.
+ Verifies application data and manages corrective measures, to ensure data accuracy and integrity.
+ Troubleshoots and tests functionality of all application platforms (Common Application, Coalition for College Application, etc.) to ensure successful application opening for prospective students and families in advance of formal “go live” date.
+ Oversees yearly system clean up and cut over management to move entire CRM system forward to new Round. Ensures data and document clean up associated with yearly purge aligns with industry best practices and stated internal policies.
**Communications Technology Management**
+ Manages technical aspects of SLATE including workflow confirmations, writes reports and queries, and creates imports and exports of documents and data.
+ Oversees and leverages technological backend CRM System to optimize communication flow using data and integration of SLATE forms through all phases of the admissions and enrollment cycle.
+ Facilitates the optimal use of Slate texting features to engage with prospective students and families throughout the admissions cycle, includes monitoring accounts to ensure sufficient funds are available for text campaigns and takes steps to obtain additional funding when needed.
+ Attends biweekly Systems & Communications Team meetings to ensure continued collaboration of timely name purchases, data collection, and messaging.
**Supervision and Training**
+ Serves as a direct supervisor to several staff members within the data systems and communications teams who work directly with Slate and CRM data integration processes.
+ Develops and maintains an archive of training materials, reference guides, procedure manuals and data dictionary for staff that documents policies and workflow protocols.
+ Trains staff to enhance knowledge of SLATE applications and emerging technologies that move us forward in our working knowledge of Slate.
+ Represents the University at professional meetings, conferences, and local and regional counselor functions. Keeps current on guidelines and accepted admissions policies. Keeps abreast of information technology trends through self-study, attending job related seminars, courses, or conferences as a participant, panelist, presenter, or moderator to enhance personal development and to strengthen the user service functions.

**QUALIFICATIONS:**
+ Bachelor's degree or an equivalent combination of education and experience required.
+ Master's degree preferred.
+ 4-5 years’ experience in SLATE and admissions enrollment preferred
+ or equivalent combination of education and experience required.
+ 2-3 years in a supervisory capacity required.
+ Extensive experience with Slate. Experiences with database management, including SQL queries, data exports and imports, data integrity, etc. required.
+ Knowledge of web technologies, such as HTML, CSS, JavaScript, XML, etc. preferred.

**Pay Range**
Pay Range: $65,000 - $135,000 Annually
_The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations._
