Position Summary:
Potawatomi Training, LLC (a federal government contractor) is seeking a qualified Assistant Travel Team Lead who assists the Travel Team Lead with supervising the travel authorization and voucher process for all responder students attending training at the Noble Training Facility (NTF) and the Center for Domestic Preparedness (CDP).
Essential Duties & Responsibilities:
• In the Travel Team Leads absence, oversees daily operations of the Travel Section, to include direct supervision of travel staff
• Assists Travel Team Lead with reviewing travel authorizations, and vouchers for accuracy, and ensuring all information is complete and in accordance with regulations
• Assists Travel Team Lead by reviewing all travel itineraries for accuracy prior to transferring electronically or mailing if needed
• Act as a liaison between students and National Travel for travel requirements
• Assists Travel Team Lead by maintaining daily contact with Federal Emergency Management Agency (FEMA) travel office and accounting department
• Provides on-call services, after hours, on a rotation basis
• Conducts QA audits on a rotation basis
• Accounts for all Travel authorizations by entering numbers into database, distributes to appropriate Travel clerk for final processing
• Maintains and prepares, travel department information, for Monthly Technical Progress Report
• Conduct weekly Travel Briefings as needed
• Delivers all designated paperwork to FEMA finance department twice daily
• Provides Travel Clerk duties as needed
• Provides input to Travel Team Lead for annual evaluation of Travel staff to ensure continued professional growth
• Mentors new staff
• Processes the CBA credit card on a weekly basis to ensure accuracy for all charges and credits emails to FEMA finance department once complete
• Other duties as assigned
EDUCATION, EXPERIENCE & SKILLS REQUIREMENTS:
• High school graduate or GED equivalent required
• Knowledge and experience with making travel arrangements in accordance with Federal Travel Regulations
• Knowledge and experience of process of transporting responders to and from scheduled training at the NTF and CDP
• Working knowledge and experience in computer software applications to include word processing and spreadsheets (i.e., Word and Excel)
• Excellent oral and written communication skills
• Ability to manage individual workloads and work with limited supervision
• Possess good analytical and problem solving skills to manipulate data and interpret into meaningful operational performance trends
• Time management skills and ability to prioritize
• Working knowledge of MS Office Suite (Microsoft Word, PowerPoint, Excel, Visio, Access) to prepare multiple Contractual and Government reports
• Experience with transportation management/dispatching and optimization tools
• Experience facilitating and collaborating in workgroups with principals at upper echelons of military/civilian organizations.
• Experience with software applications and SharePoint website management
Other Requirements:
• Able to travel (1-5 %)
