Assistant to the CEO - George Jon, Inc.

The founder and CEO of GeorgeJon is seeking a highly organized and self-motivated Assistant to help manage his personal and business affairs, allowing him to focus on professional responsibilities. The ideal candidate is a go-getter, energized by chaos and fueled by a relentless work ethic, and able to match the CEO’s high pace. The candidate will have a high emotional quotient (EQ), resilience, and a good sense of humor. Traits like relentless drive, enthusiasm, and a sense of urgency are crucial. Additionally, the ability to manage sensitive information with the utmost discretion and confidentiality is paramount.

RESPONSIBILITIES

• Full management of the CEO's calendar, including organizing meetings, resolving scheduling conflicts, and ensuring availability for events.
• Efficient organization and management of personal appointments, family schedules and social engagements.
• Running personal errands on behalf of the CEO.
• Preparation of meeting materials to ensure the CEO is well-equipped for all engagements.
• Assisting in the creation and editing of correspondence.
• Managing comprehensive arrangements for domestic and global travel, including flights, hotels, and transportation.
• Providing occasional support to other executives as needed.
• Managing, tracking and submitting business expenses.
• Handling confidential personal information, including login credentials, passwords, and credit card details.
• Creating and maintaining documents using PowerPoint, Excel, and Word.
• Proofreading documents, drafting templates for emails and event invitations.
• Undertaking ad-hoc projects as they arise.

QUALIFICATIONS

• Must be in a commutable distance of West Los Angeles, CA.
• A minimum of 3 years of administrative experience, preferably involving work with C-level executives.
• Advanced proficiency in Microsoft Office Suite, particularly Outlook and its scheduling features.
• Exceptional verbal and written communication skills.
• Outstanding organizational skills with a keen attention to detail.
• Skillful at listening and identifying key information or details.
• Ability to multitask effectively and manage time efficiently.
• Flexibility and adaptability in handling changing priorities.
• Ability to handle high-pressure situations with resilience.
• Maintain a positive demeanor and a sense of humor.
• Independent, yet a collaborative team player.
• Proactive and enthusiastic approach.
