Assistant Resource Coordinator

This role is vital in ensuring the efficient scheduling of fleet vehicles and supporting labor and equipment needs across our growing enterprise. Position Overview:
The Assistant Resource Coordinator is responsible for coordinating fleet vehicles, facilitating crewing and equipment needs, and supporting live events across all Mills James service lines. This role includes assisting Resource Managers and occasionally performing warehouse technician duties. The ideal candidate is highly organized, detail-oriented, and skilled at multitasking in a collaborative setting.
Key Responsibilities:
- Fleet Coordination:
- Schedule and assign fleet vehicles for events and hospitality support.
- Collaborate with the Fleet Manager to monitor vehicle status and arrange rentals when needed.
- Resource Management:
- Coordinate labor and equipment needs with Hospitality Operations Managers and Resource Managers for live events.
- Resolve resource conflicts and secure external resources as required.
- Logistics Support:
- Communicate with Warehouse Operations regarding fleet assignments, equipment deliveries, and pickups.
- Ensure production standards, pricing, and processes align with company objectives.
- Administrative Tasks:
- Use scheduling and resource management software effectively.
- Facilitate communication via phone and email regarding equipment rentals and labor bookings.
Required Qualifications:
- Bachelor's degree or equivalent combination of education and experience (four years of related experience/training).
- Minimum of one year of scheduling or operations experience.
- Basic knowledge of audio, video, and lighting system operations.
- Exceptional communication and organizational skills, with the ability to manage multiple projects simultaneously.
- Valid driver's license and medical card.
- Flexibility to work nights and weekends as needed.
Preferred Qualifications:
- Experience in event production or resource scheduling software.
- Knowledge of logistics or fleet management.
