Assistant Registrar (Higher Ed) - Neumont College of Computer Science

POSITION SUMMARY

The primary function of the Registrar’s office is where students get information about their enrollment, their academic records, and their class schedules. The Assistant Registrar is a supportive role to ensure the integrity of official academic records, transcripts as well as assistance with grades, enrollment/degree verifications, registration and course schedules while ensuring compliance with College policies and the Family Educational Rights and Privacy Act (FERPA). This role also works with the Registrar and others to ensure academic policies and procedures are enforced and proper records are maintained as well as assists with student academic advising and graduation planning.

RESPONSIBILITIES

• Audit all course pre-requisites.
• Assist with creation and management of quarter courses in CampusVue (CV).
• Aid with courses creation and instructional periods in CV.
• Manage bookstore; coordinates with Faculty on ordering textbooks.
• Work to maintain records in CV and assists with student status and course changes.
• Aid in administration of the final grade collection process for instructors.
• Maintain records requests and integrity of multiple systems and data tables.
• Utilize the latest Registrar best-practices and industry technology, in part though association with the National Student Clearinghouse.
• Respond to request for official transcripts and enrollment verification.
• Maintain confidential files and input/retrieve data from students and graduates.
• Maintain student academic records and files for current and former students.
• Assist with student academic advising.
• Provide relevant information for institutional data.
• Maintain schedule for room use and review class schedule.
• Assist with some event planning to include set-up/clean-up of events.
• Adherence with Family Educational Rights and Privacy Act (FERPA) and other College and academic policies and procedures.
• Demonstrate high quality of customer service.

• General administrative department support assigned by the Registrar.

QUALIFICATION AND POSITION REQUIREMENTS:

Education and Experience

• Highschool Diploma and a minimum of 3 years’ equivalent office or customer service work experience that demonstrates the ability to complete the responsibilities of the position.
• High proficiency with Microsoft Office applications (Excel, Word and Outlook) required.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

• Excellent public relation skills including courteousness, tact and good verbal communications.
• Professional writing skills including correct use of grammar and punctuation.
• Strong analytical and data interpretation skills; the ability to manage details associated with the implementation of complex policies and procedures.
• Ability to remain professional in stressful situations.
• Ability to prioritize tasks and responsibilities.
• Ability to demonstrate discretion and maintain confidentiality.
• Ability to maintain self-control and complete tasks with frequent interruptions.
• Proficiency in office procedures, keyboarding, office equipment operation and maintenance, business machines (photocopiers, postage machine and telephone systems) and computer software programs.
• Demonstrates a strong commitment to professional and personal ethics, and commitment to Mission and organizational values.
