Assistant Property Manager

The Assistant Property Manager is responsible for assisting the Property Manager as needed, while building customer relations with tenants. This person would follow-up with new clients to ensure paperwork is complete and assist as needed with check-in/out inspections and responding to tenant/owner/vendor/agent inquiries. This person would develop a positive tenant relationship while supervising all maintenance/repair issues and oversee the supervision of vendor assignments for work order completion. The Assistant P.M. is responsible for scheduling & conducting periodic inspections with tenants of assigned properties.
Job Description
Job Summary: The Assistant Property Manager is responsible for assisting the Property Manager as needed, while building customer relations with tenants. Follow-up of new clients to ensure paperwork is complete and assist as needed with the check-in, check-out inspections and responding to tenant/owner/vendor/agent inquiries. Develop a positive tenant relationship while supervising all maintenance/repair issues and oversee the supervision of vendor assignments for work order completion. Assistant P.M. is responsible for scheduling & conducting periodic inspections with tenants of assigned properties.
Essential Functions:
Handle direct inquiries from Owners/Tenants/Vendors/Agents to resolve any issues regarding PM services and paperwork, escalating issues to senior management as necessary.
Respond to tenant calls/emails regarding all maintenance issues of managed properties. To include after hour maintenance calls, as needed.
Schedule/Manage all work orders with vendors and tenants to completion.
Work with Property Manager to complete Move-In, Move-Out & Periodic Inspections as needed and provide proper documentation accordingly.
Provide Assistance for completion of Security Deposit and maintain SD files as needed
Maintain property files
Additional Responsibilities:
Back-Up support of phone calls/emails for Property Manager
Provide a monthly "Owner Hold List" of funds needed on major repair expenses for Director of PM.
Reviewing and completing Vendor invoices.
Organizing and tagging property keys Logging Keys on Assignment
Provide back up support for rental processing and lease preparation, as needed.
Assist Property Manager with new owner brochures and paperwork.
Document Scanning to P-Drive and filing as needed
Updating Owner/Vendor/Tenant information as needed in Appfolio
Job Specifications:
Knowledge of property inspection procedures.
Common Knowledge of Virginia & NVAR Laws for managed properties.
Knowledge of and proficiency with a variety of computer software applications including Microsoft Word, Excel, Access, PowerPoint & Gmail messaging.
The ability to maintain current knowledge in the PM based software APPFOLIO & HAPPY INSPECTOR after initial training is provided.
Must be able to multi-task and stay on top of multiple projects
