Job Title: Assistant On-Site Property Manager
Reports to: On-Site Property Manager/ Regional Property Manager
Job Overview:
The Assistant Property Mangerassists with preserving and increasing the value of a real estate investment. S/he assists with managing the day-to-day operations for a residential building/portfolio and takes action to best meet the owner’s goals and objectives. Specifically, s/he assists the On-Site Property Manager with tenant relations, collecting rent, monitoring agreements, and ensuring the property is in good working order. The position provides first rate service to all residential tenants by diligently responding to their needs and appropriately corresponding with tenants, office staff, managers, and ownership.
Primary Responsibilities:
Tenant Relations:
· Process/screen/review new applications and communicate with residents, future residents and leasing team through appropriate communication methods.
· Generate new leases.
· Inspects future move-ins units, ensuring they are prepared including keys, move-in information or move-in gifts.
· Coordinate move-ins with future residents ensuring keys are picked up; process move-in accordingly in Yardi/RentCafé CRM.
· Enforce terms of rental agreements, if necessary, oversee eviction proceedings.
· Communicates with residents regarding renewals, complaints, move-outs, and collections.
· Process tenant changes, buy-outs, etc. in Yardi/RentCafé CRM.
· Sends applicable communication to residents and updates Yardi/CRM accordingly.
· Assist Property Manager with resident event planning and notifications.
· Assist Property Manager with general building newsletters, notifications etc.
Works with Bookkeeper and Property Manager to resolve tenant ledger and billing issues.
Provides timely, attentive, upbeat service to residents, making sure their needs are met or explained in a manner that reflects positively on the company or business.
Facilities Management:
· Regularly inspect property and units to ensure it is in good working order, meeting the building requirements.
· Work with appropriate staff to follow-up on maintenance issues; communicate work orders for tenants, providing insight, and responding quickly to resolve the issue.
· Assist Property Manager with collection of vendor updates and new bids from contractors.
· Assists in coordination of various maintenance, special, or yearly upkeep projects assigned by Property Manager.
Owner Relations
· Participates in property status calls or meetings with owner.
· Maintains open dialogue with On-Site Property Manager on vacancies, tenants, physical condition of property, and financial issues.
· Ensures compliance and organization of owner(s) and management agreement with utility companies.
Other Duties:
Encouraged to reach out and network with Peak's team of leasing agents and coordinators to grow competency and gain efficiency.
Ensure compliance with Peak Properties company policy, as well as federal and local regulations.
· Attend Peak meetings and/or connect with other Peak employees to share best practices.
Additional duties as assigned by Management.
Qualifications:
· Leasing license or obtain one within 90 days of employment.
· Knowledge and strong interest in real estate and property management.
· Demonstrated ability to work independently; self-manage emotion and build strong relationships with customers, Peak employees, and vendors.
· Positive attitude, highly organized, detail oriented with the ability to demonstrate sound judgement.
· Ability to ask for help when needed.
· Familiar with applicable local, state, and federal laws and regulations.
· Ability to handle large volume of emails and phone calls.
· Strong interpersonal & business communication skills.
· Basic knowledge of building maintenance preferred.
· Competence with and/or desire to learn and use systems/tools (Yardi, Excel).
Computer proficiency in Microsoft Office (Excel, Word, Outlook).
· Knowledge of financial reporting.
Availability and Work Hours:
· Ability to access emails on weekends and be available to resolve an emergency issue as needed.
Physical Requirements:
· Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer.
· Requires the ability to move within different areas of the property, stand, sit, walk up/down stairs for periods of time.
