Job Overview
The Assistant Project Manager is responsible for providing essential support to multiple Project Managers in overseeing construction projects with a focus on flooring,
countertops, and window blinds in the multifamily, hospitality, senior living, commercial and higher education. This role demands an individual who is highly organized, detail oriented, and committed to client satisfaction. The successful candidate will possess a mastery of detail, a solution-oriented mindset, and a sense of urgency, effectively managing key project tasks, tracking project progress, coordinating with supplier partners, and ensuring clear communication with clients and the project team.
Key Responsibilities
Project Support and Coordination
- Assist Project Managers in the planning, execution, and closeout of construction
projects, ensuring all processes adhere to established company standards.
- Organize, track, and maintain project documentation, schedules, and milestones,
following up on any outstanding items and communicating updates to project
managers and stakeholders.
- Help manage project timelines and deliverables, ensuring that all parties remain
aligned and informed throughout each phase of the project.
Client Communication and Customer Service
- Serve as a point of contact for clients and stakeholders, responding promptly and
professionally to inquiries, providing project updates, and ensuring client
satisfaction.
- Demonstrate extreme client focus by anticipating needs, addressing concerns,
and prioritizing client requirements to uphold a positive experience and build
lasting relationships.
Documentation and File Management
- Maintain accurate, organized records and files for each project, including project
schedules, contracts, permits, and change orders.
- Prepare, review, and distribute project documentation as needed, ensuring all
information is up-to-date and available to team members and clients.
Supplier and Subcontractor Coordination
- Coordinate with supplier partners and subcontractors, assisting with scheduling,
order tracking, and delivery logistics for materials.
- Confirm specifications and resolve any issues that arise, ensuring that products
and services align with project expectations.
Budget and Cost Tracking
- Support the Project Managers in tracking project budgets and costs, recording
expenses and identifying variances between estimated and actual costs.
- Assist with change order management, ensuring that all budget adjustments are
documented and communicated to relevant parties.
Process Improvement and Problem Solving
- Identify and suggest process improvements to enhance project efficiency and
client satisfaction.
- Demonstrate perseverance and a solution-oriented mindset in managing project
challenges, assisting Project Managers with finding effective solutions to
maintain project timelines and standards.
Administrative Tasks
- Assist in preparing and updating project reports, schedules, and other projectrelated
documentation, keeping all records accurate and up to date.
- Schedule and coordinate meetings, site visits, and other project-related activities
as needed.
Qualifications
Education: Bachelor’s degree in construction management, Business, or a related
field is preferred but not required.
Experience: 5+ years of experience in an assistant or project support role within the
construction industry, ideally with experience in flooring, countertops, or window
treatments.
Skills
- Highly organized and detail-oriented, with strong time management skills and a
sense of urgency in completing tasks.
- Strong written and verbal communication skills with the ability to communicate
professionally and effectively with clients, supplier partners, and team members.
- Proficiency in Microsoft Excel, including the ability to create and manage
spreadsheets for budgeting and scheduling.
- Confidence using project management software such as Procore, Bluebeam,
PlanSwift or similar tools.
- A client-focused mindset, with a dedication to providing excellent customer
service and maintaining positive relationships.
- Problem-solving abilities with a solution-oriented, proactive approach to
addressing challenges.
Preferred Qualifications
- Familiarity with the construction industry, particularly in flooring, countertops, and
window treatments.
- Previous experience supporting multiple project managers or working in a fastpaced
environment.
- Knowledge of budgeting, scheduling, and project documentation best practices.
