STAR Movers is looking for an Assistant Office Manager to join our team in our Newport News and Hampton locations. The Assistant Office Manager is responsible for overseeing the general administrative functions and any events or activities in the office, to include: Human Resources, Onboarding, Payroll, Inventory Management, New-Applicant Interviews, Customer Complaints/Claims, Sales (with Commission), In-Person Marketing Efforts, to name a few.
The ideal candidate will have prior administrative experience working in an office supporting multiple levels of employees. He/she greets visitors and should present an accessible and approachable tone as well as have excellent communication skills. The ideal candidate has a healthy initiative and can anticipate needs.
Responsibilities:
- Manage – Organize company events, meetings, and conferences. Supervise, monitor and delegate work to administrative staff as needed. Create a system for the team to be able to locate and review any files or records. Organize onboarding programs for new employees. Create and maintain the office budget.
- Coordination – Arrange and book travel and accommodations. Respond to correspondence, complaints and inquiries. Provide backup support to other administrative staff as needed including answering phones, sorting and distributing mail, and preparing documents.
- Human Resources - Manages the new applicant interview process, on-boarding new teammates, payroll, and HR compliance requirements.
- Customer Satisfaction - Leads customer complaint and resolution, recommends and documents policy changes to reduce complaints and claims, ensures 100% customer satisfaction in line with company policies,
- Digital System Controls - Ensures optimization of various company systems and that select users have access, on-boards new employees into systems,
- Inventory Management - Order and maintain all office-related supplies, including furniture, conducts weekly inventories of all supplies
- Reports - Pulls and analyzes various reports to direct management towards optimization and increased profitability,
- Sales - Able to answer phones and book clients with an accurate estimate
- Networking / Marketing - Interfaces with local businesses and realtors to increase sales
Requirements:
- A high school diploma or equivalent is required; Associate degree preferred
- One or more years of previous office management experience preferred
- Superb communication skills
