About the Role:
- The Assistant Manager supports the Office Manager in overseeing the daily operations of a medical office. This role involves coordinating staff, managing patient services, and ensuring the office adheres to regulatory and safety standards. The Assistant Manager acts as a liaison between the medical staff, patients, and administrative personnel, facilitating effective communication and problem-solving.
What You’ll Do:
- Assist in the management of office operations to ensure the highest quality of patient care.
- Support staffing needs, including scheduling, training, and evaluating office staff performance.
- Help maintain compliance with healthcare regulations, including patient privacy laws and safety standards.
- Assist in managing patient records and documentation, ensuring accuracy and confidentiality.
- Coordinate patient appointments, billing, and insurance verification processes.
- Provide support in financial management, including budgeting, billing, and accounting activities.
- Address patient inquiries and concerns, ensuring a high level of patient satisfaction.
- Assist with the procurement and maintenance of medical supplies and equipment.
- Implement office policies and procedures and ensure staff adherence.
- Facilitate communication between medical, administrative, and support staff.
- Support the Office Manager in strategic planning and improvement initiatives.
- Assist in the management of office IT systems and electronic health records (EHR) systems.
Our Ideal Candidate:
Education and Experience
- Minimum of 2 years of experience in a medical office or healthcare setting as Administrative support with supervisory experience preferred
- Associate or bachelor’s degree in healthcare administration, Business Administration, or related field
- Proficient in Microsoft Office and medical office software (e.g., EHR systems)
- Bilingual in Spanish – Speak, Read and Write - strongly preferred
- Ability to travel to all three Apex Medical Center locations as needed

- Strong understanding of healthcare regulations, medical terminology, and healthcare billing procedures
- Excellent organizational, leadership, and problem-solving skills.
