Position: Assistant Property Manager FLSA Status: Non-Exempt
Reports to: Property Manager
General Purpose
Under the direction of the Property Manager, this role assists in maintaining compliance and successful day-to-day operations in all aspects of property management. This role requires regular communication with residents to ensure on time rent payment, and adherence to lease agreements.
Essential Duties and Responsibilities
- Actively participate in leasing and marketing of the community to maximize occupancy.
- Meet and greet prospective residents and vendors in a professional and enthusiastic manner.
- Utilize telephone and leasing techniques designated by the Company, always conforming to Fair Housing regulations.
- Maintain the highest level of customer service and online presence to obtain satisfactory scores on surveys/reviews from residents and prospects.
- Properly record information regarding prospective resident inquiries in LMS (Lead Management System) and follow up based on company strategy.
- Tour community, amenities and vacant apartments with prospects and have current knowledge of apartment specifications, vacancies, notices, and rental rates.
- Responsible for having a thorough knowledge of the surrounding area, comparable communities in the area, schools, shopping, bus lines, and be able to convert the knowledge into a selling benefit for the property.
- Responsible for having a thorough understanding of policies related to screening qualifications and application criteria, lease paperwork, rent collection, and move‐in/move‐out procedures and be able to explain these items to existing and prospective residents.
- Completes daily transactions and tasks related to the financial operation of the community by collecting and posting rent, fees, and other payments, preparing daily bank deposits and reconciling bank accounts, preparing financial reports, processing invoices, managing daily YieldStar rate reviews in absence of Property Manager, and performing pre-close/AME procedures.
- Reviews resident files and accounting records to determine unpaid and/or late fees owed, communicates with residents regarding outstanding balances, implements procedures for collecting on delinquent balances, and enforces the lease.
- Reviews and submits invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, obtaining property manager approval, coding charges to appropriate GL codes,
- and managing communication between the vendor/contractor, accounting, and the client/owner as needed.
- Follows the Company’s established procedures related to evictions by assisting the Property Manager in serving of the rent demand, filing the demand with the Attorney, potential/occasion court appearances if a response is filed by the defendant, coordination of the Writ of Restitution with the Sheriff and the actual oversight of the eviction.
- Processes resident move-outs by reviewing lease terms and notice requirements, applying appropriate deposit and lease cancellation fees, if applicable, and processing the disposition in accordance with established procedures and legal requirements.
- Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issues.
- Coordinate, monitor and perform aspects of the annual renewal process as delegated (contacting residents, preparing letters, following up on renewal offers, investigating notices, etc.)
- Attendance is imperative and this position will be required to maintain regular onsite office hours.
Other Duties and Responsibilities
- Achieve Fair Housing certification within 3 days of hire and annually thereafter to any interaction with prospects or residents.
- Competence in personal computer skills, keyboard, internet search, math, Microsoft Office Suite
- including Word, Excel, and Outlook as well as community software applications.
- Participate in training to comply with new or existing laws.
- Be able to work evenings and weekends.
- Assist the Property Manager in designing and implementing a resident retention program (i.e.,
- newsletter, resident referral program or social activities).
- Acts as the on-site supervisor in the absence of the property manager by organizing and delegating daily work, coordinating maintenance and make-ready tasks with the maintenance supervisor, and managing the operation of the community in compliance with Company policies, procedures, and business practices.
- Promptly report any unusual or extraordinary circumstances regarding residents, personnel or the
- property to the Property Manager.
- Team Members must fulfill the performance standards of this position and comply with policies,
- rules and procedures of the company, including those set out in the Team Member Handbook or
- otherwise communicated (verbally or writing) to team members.
- Other duties as assigned.
- Successfully pass a credit check.
Job Qualifications
Knowledge:
- Thorough understanding and application of Fair Housing laws.
- Knowledge of web platforms for virtual tours (i.e., Zoom)
Skills:
- Demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions, and initiate appropriate course of action.
- Effectively convey ideas, images, and goals to a diverse group of personalities.
- Competence in personal computer skills, keyboard, internet search, math, Microsoft Office Suite
- including Word, Excel, and Outlook.
Ability:
- Maintain a positive attitude, professional appearance, and courteous disposition always.
- Technical proficiency to learn new computer software applications.
Experience:
- A minimum of 1-2 years onsite as a Leasing Consultant preferred.
Education:
- High school diploma or equivalent.
