Major/Essential Functions:
The Assistant Director of the Osher Lifelong Learning Institute (OLLI) at Texas Tech University plays a critical role in the operational, financial, and administrative aspects of the program. This position supports the Director by managing the daily activities of OLLI, developing and implementing programs, and fostering member engagement. The Assistant Director also serves as the point of contact for instructors, members, and volunteers, while ensuring high-quality delivery and program success.
Administrative Responsibilities :
+ Collaborate with the Director to maintain a current membership list and track class registrations using registration software.
+ Compile monthly reports on class enrollments and memberships for the Director and Advisory Council during active semesters.
+ Coordinate with campus facilities management for space allocation and oversee the operations of OLLI’s administrative offices.
+ Develop and refine customer relationship management systems, policies, and procedures to improve customer service, increase member enrollment, and enhance retention efforts.
Financial Responsibilities :
+ Receive and document payments for classes or memberships and process refunds as needed.
+ Reconcile payments and expenses, working closely with the finance department to ensure timely deposits.
+ Manage procurement processes by creating purchase orders and reconciling P-card statements for class and office expenses.
+ Produce a post-semester income/expense report to assess the financial viability of individual classes.
Fundraising Support :
+ Assist the Director with information gathering for grant applications and reporting to funding sources such as the Bernard Osher Foundation.
+ Provide logistical and administrative support for fundraising events, including reserving facilities, coordinating AV equipment, and managing event details.
Marketing and Membership Development :
+ Assist with the production of course catalogs three times a year, managing content such as course descriptions and marketing letters.
+ Post community announcements and events to appropriate media outlets, including local newspapers and Chamber of Commerce platforms.
+ Deliver catalogs to strategic locations, such as libraries and retirement homes, and track distribution efforts.
+ Support the execution of the OLLI marketing plan to recruit new members and engage the wider community.
Member Engagement and Customer Service :
+ Foster positive relationships with OLLI members to create and maintain a welcoming environment.
+ Provide exceptional customer service by responding promptly to phone calls and emails, addressing member issues with efficiency, while transferring major concerns to the Director when necessary.
+ Maintain accurate mailing lists for members and prospective members and send reminders for membership renewals and class participation.
+ Regularly communicate with members through surveys, email reminders, and event announcements.
Program and Curriculum Management :
+ Organize class logistics by preparing registration sheets, class packets, and making arrangements with class hosts, if applicable, and attending classes.
+ Coordinate recruitment for instructors and guest speakers, serving as their primary contact for program-related inquiries.
+ Oversee the administration of class evaluations, collecting data for review by the Director to guide future programming decisions.
+ Manage Zoom class logistics, ensuring smooth virtual sessions and addressing any technical issues that arise.
Instructor Support :
+ Communicate with instructors by sending reminders and/or class materials.
+ Assist with the setting up of classroom technology and offer Zoom meeting support as needed.
