Summary/Objective
The Assistant Director of Facility Mainteance Operations responsibilities includes planning, organizing, and directing the overall operations of the Mechanical/HVAC/Plumbing & Fire Protection infrastructure at the BJCC Complex Including Hotel and any other expansions. Also responsible for planning and managing maintenance projects, capital improvements and construction projects for the BJCC Complex.
Essential Duties/Responsibilities
Demonstrates understanding and full performance ability in each of the following:
- Works closely with the Director of Facilities to provide leadership in the department.
- Act on behalf of Director of Facilities in his absence.
- Collaborate with the department to provide assistance with repairs as needed.
- Participate in the review and hiring of Mechanical Plant team members.
- Collaborate with the Director of Facilities in the following duties as assigned:
- Oversee the administration and operation of M-Pulse system.
- Conduct departmental meetings with teammates to discuss events, work planning, and support needed to ensure work is completed timely.
- Develop relationships with contractors to facilitate expedited assistance when emergency repairs are critical to support our business.
- Certify that services and or products meet bid specifications and ensure that all quantities are provided.
- Coordinate all work with the necessary departments to ensure work will not interfere with event functions or disrupt departmental operations.
- Assist in the development of capital budgets and programs as related to facility maintenance and Mechanical Plant needs.
- Develop utility budgets for water and sewage, power, and natural gas for the facility as well as Mechanical Plant Operational Budget.
- Identify when purchases and services are needed to be completed by bid or competitive quote
- Manage annual Mechanical Plant budget.
- Review monthly financial reports of departmental expenses for reasonableness and accuracy; implement corrective measures as appropriate.
- Verify and validate project payment applications for large projects that are overseen by Facility Operations. submit to executive management for approval.
- Develop and manage various projects at the direction of the Director of Facilities Operations.
- Develop specifications and requirements for Request for Proposals for professional services related to facility projects.
- Develop technical specifications for assigned projects for inclusion in bid documents.
- Assist in planning of services that are required to support events throughout complex.
- Collaborate with internal partners to assess the needs within each respective operational department.
- Identify when purchases and services are needed and the anticipated financial requirements.
- Implement workflow, quality and timeliness strategies for Mechanical Plant team.
- Manage BJCC utility cost by working with utility company service representatives to find lower rates or other available actions providing savings.
- Coordinate all facility utility outages with the appropriate utility and internal departments.
- Manage contracted service and utility service provider relationships to ensure an acceptable level of service is maintained for the complex.
- Provide departmental staff necessary equipment, software, tools, and supplies to perform the necessary equipment and building repairs.
- Act on behalf of the Director of Facilities Operations when out of the office or at capacity by completing tasks.
- Authorize material purchases by Mechanical Plant teammates necessary to complete needed building repairs.
- Ensure Mechanical Plant teammates monitor mechanical systems, utility systems, and facilities; ensure functioning correctly as well as updated and replaced as needed.
- Ensure Mechanical Plant teammates provide specialized information to project teams for development of project plans.
- Provide instruction and support to the Mechanical Plant team on very short notice.
- Provide project document review for developed Engineeringdrawings, bid documents, and contracts.
- Provide complex tours as well as operational training of BJCC teammates and partners as needed.
- Address vendor non-compliance issues and develop with the vendor a plan for correction.
- Assist Mechanical Plant teammates with ensuring that all the mechanical systems, utility systems, and facilities on the complex are functioning correctly.
- Coordinate project development with architects and engineers; review and approve final drawings for bidding purposes.
- Develop bid documents for vendor service contracts for BJCC mechanical and systems support.
- Develop contract and execute, collect and document all necessary information required for capital projects; ensure project schedule is delivered as specified.
- Identify skilled contractors with proper certifications to complete projects, maintenance and repairs beyond the ability of the BJCC Mechanical Plant.
- Ensure the usage of the Mechanical Plant work order system for all complex maintenance and building requests.
- Source and purchase mechanical and electrical equipment repair parts; ensure vendors deliver in a timely manner.
- Make facility maintenance recommendations and changes.
- Manage all service contract vendors and invoicing to ensure compliance with the contract.
- Oversee and direct the maintenance of the complex.
- Perform regular inspections of the complex and schedule maintenance as necessary.
- Provide maintenance support to the engineering staff of BJCC partner hotels.
- Receive and evaluate bids in order to make recommendations based on responsiveness (met all of the requirements of the bid document).
- Review all project documents developed by outside architects and engineers for accuracy; ensure scope is detailed, correct, and that all dates are accurate.
- Review and approve facility maintenance recommendations and changes.
- Work through bid process for pre-bid conferences; issue addendums.
- Performs other duties as assigned.

Work Environment
This position may have a moderate to extensive stress level associated with dealing with crowds of public visitors. The environment is mainly indoors, however position may be required to work outdoors and exposed to the elements (heat, rain, etc.). The work involves moderate risks or discomforts which require special safety precautions, e.g. working around moving parts, machines, fumes, irritant chemicals. May be required to use protective clothing, or gear such as masks, googles, gloves, hard hats, or shields.
Physical Demands
Position requires lifting, climbing, carrying, bending, stooping, squatting, and kneeling for extended periods of time. Extensive walking and or standing. Ability to lift up to 50-pound items with or without assistance, while maintaining good balance. Must be flexible enough to reach above shoulder level and be able to push and pull for extended periods of time.
Position Type/Expected Hours of Work
This is a full-time position; hours of work must be flexible and varied to meet the demands of the events of the facility. Must be able to work extended and/or irregular hours including day, nights, weekends, and holidays, as needed. This position may require limited travel for training purposes.
Required Education and Experience
- Minimum of eight (8) years related knowledge, experience, and skills in building operations and maintenance, project management, and building construction, with at least five (5) years’ experience in a supervisory position for building operations and maintenance preferred.
- Associates degree or bachelor’s degree in a related technical field. Bachelor’s Degree in Engineering or Building Science would be a plus. Some college with extensive related experience will be considered.
- Experience in project management and building construction are required.
- Experience on a multi-building campus is strongly preferred.
- Valid State of Alabama Driver License.
Additional Eligibility Qualifications
- Knowledge of the methods, tools, techniques and practices of the operation, repair and maintenance of buildings and teams that manage each.
- Knowledgeable of established safety practices and applicable fire codes pertaining to public facilities.
- Knowledge of the hazards and safety precautions of the work.
- Knowledge of computerized building automation control system.
- Make basic mathematical calculations and knowledgeable of principles and practices of budgeting and accounting.
- Strong leadership and management skills required with the ability to plan and direct the work of several subordinate supervisors and to assist in training and instructing employees in building operations and maintenance.
