JOB DEFINITION:
As the Assistant Director, you will be responsible for overseeing the maintenance and operation of a company's facilities. Your primary goal will be to ensure that the facilities are well-maintained, safe, and efficient. You will manage a team of staff members and vendors, ensuring that all maintenance, repairs, renovations, and security measures are properly implemented. Your role will involve developing and implementing facility management policies and procedures, as well as continuously improving operational efficiency.
EDUCATIONAL REQUIREMENTS:
Bachelor's degree in Facilities Management, Engineering, Business Administration, or a related field (or equivalent work experience).
EXPERIENCE REQUIRED:
- Proven experience as an Assistant Director or in a similar role.
- Strong knowledge of facility management principles, practices, and regulations.
- Excellent leadership and communication skills.
- Ability to multi-task, prioritize, and manage time effectively.
- Strong problem-solving and decision-making skills. Proficiency in using facility management software and other relevant tools.
- Familiarity with health and safety regulations.
DUTIES AND RESPONSIBILITIES:
- Plan, coordinate, and oversee all facilities-related activities, including maintenance, repairs, renovations, and security measures.
- Develop and implement facility management policies and procedures to ensure the smooth operation of the facilities.
- Manage and train a team of maintenance staff members, ensuring that they are equipped with the necessary skills and knowledge to carry out their tasks effectively.
- Monitor the performance of vendors and contractors, ensuring that they adhere to service level agreements and quality standards.
- Conduct regular inspections to identify any maintenance or safety issues and take appropriate action to address them.
- Develop and manage the facilities budget, ensuring that expenses are within allocated limits.
- Collaborate with other departments to identify and implement initiatives to improve operational efficiency and maximize space utilization.
- Maintain accurate records of all maintenance activities, expenses, and contracts. Stay up to date with industry trends and advancements in facility management practices.
- Identify and implement quality improvement trainings and activities as part of professional development goals
- Encourage quality improvement processes and provide consistent resources for QI and professional development
