Assistant Controller - Real Estate

We are seeking a highly organized and proactive Assistant Controller to join our team. This role will report directly to the CFO/CPA and is responsible for a wide range of accounting, financial management, and administrative tasks. The ideal candidate will be self-motivated, detail-oriented, and able to work independently. While real estate experience is a plus, we welcome candidates with strong financial operations experience in any industry.
Responsibilities:
- Insurance Management: Oversee insurance for all properties, ensuring that newly acquired properties are properly insured, and that insurance for properties being sold is canceled in a timely manner. Manage renewals, new quotes, policy changes, and insurance payments to ensure that all premiums are paid on time and no coverage is lost.
- Accounts Payable/Receivable: Manage property taxes, utility bills, government fees, and other property-related expenses, ensuring timely payments and avoiding late fees or liens.
- Municipal Outreach: Proactively reach out to municipalities to verify that there are no outstanding fees or potential liens on properties, particularly smaller, often overlooked fees.
- Transaction Management: Monitor and manage credit card purchases and other property-related expenses, ensuring that each charge is legitimate, properly categorized, and approved by the relevant manager before processing. Ensure all transactions are accurately booked to the correct property and paid on time.
- Bookkeeping: Perform bookkeeping tasks including journal entries, AP reconciliation, sending invoices to tenants, collecting rent, and preparing financial reports.
- Mail and Document Management: Stay on top of incoming mail, ensuring critical documents (such as tax and legal notices) are promptly addressed.
- Office Support: Manage office supplies and handle occasional food orders to ensure smooth day-to-day operations.
Qualifications and Attributes:
- 2+ years of experience in bookkeeping or financial operations, with a strong understanding of accounts payable, receivables, and general financial management.
- Experience using QuickBooks or similar accounting software.
- Strong organizational skills and the ability to manage multiple financial tasks independently without needing constant oversight.
- Detail-oriented and capable of managing complex financial transactions and documents accurately.
- Smart, responsible, and self-motivated – able to work independently and prioritize responsibilities effectively without the need for micromanagement.
- Strong communication skills to collaborate with vendors, tenants, and upper management.
- Real estate experience is not required, but familiarity with property management or real estate operations is a plus.
