Job Summary
The Assistant Box Office Manager reports to the Box Office Manager and assists with all box office objectives and operations. This position is responsible for managing events created in the ticketing software from initial communications with producers and sales teams through end-of-show audits. This process includes building events, managing ticket sales, auditing events, supervising staff, and depositing funds. The Box Office supports all events related to UtahPresents including academic unit programming, and outside rental events, both at Kingsbury Hall and other venues on behalf of the College of Fine Arts. The Assistant Box Office Manager supervises part-time employees in daily operations.

Responsibilities
ESSENTIAL FUNCTIONS :
Support the Box Office Manager by assisting as directed with the following duties:
_Administrative_
+ Upholds UtahPresents mission statement, policies & procedures.
+ Attends all appropriate departmental and campus meetings.
+ Reports issues to ticketing software provider and assists in maintaining related hardware and software.
_Ticketing_
+ Additional point of contact with internal, campus, community, and commercial users regarding ticket sales for events, advising them on best practices for their ticket setup.
+ Builds events in ticketing software system, ensures performances are ready for sales deadlines and manages seating inventory from build through settlement of event.
+ Assist with ticket sales during peak workload times.
+ Assists Marketing department in implementing subscription drives, discount offers & dynamic pricing on events.
+ Updates ticketing database that is used to record ticket sales, donations and/or subscriber records including address and NCOA (National Change of Address) updates.
+ Assists with email execution for pre-show and other patron communications using DOT DIGITAL in Spektrix (or similar.)
+ Prepares and manages the preparation of reports of ticket sales, income, attendance and season ticket patrons.
_Management_
+ Manages the day-to-day supervision of all Box Office personnel, (Assistant Box Office Manager and up to 10 ticket sellers.)
+ Trains staff in proper Customer Service Policies including resolving customer issues in a consistent, courteous, respectful and timely manner.
+ Prioritizes a diversely capable and competent workforce that delivers helpful and correct information to all patrons.
_Financial_
+ Assists with seasonal audits, and individual event box office audits.
+ Cooperates with Financial manager and participates in external auditing process by providing essential reports from the ticketing system.
Other
+ Assists Event Managers with front-of-house activities as needed during performances.
+ Other duties as assigned by supervisor.
PREFERRED QUALIFICATIONS :
At least one year of experience in box office ticket sales, customer service, or closely related sales experience required. Supervisory experience required; superior interpersonal skills both in management and group decision-making along with organizational, written and oral communications skills; and a commitment to provide excellent customer service required. An in-depth knowledge of cash-based accounting procedures, familiarity with ticketing software programs and computer hardware needs. Work or college experience in the performing arts is a plus.

+ Ability to multi-task and problem-solve, with excellent follow-through and attention to detail.
+ Supervisory skills; ability to supervise a range of employees in their tasks, with employees at various skill levels.
+ Instructional and teaching skills; ability to train and work with student workers, most of whom have little or no experience, in sales and sales software operation, cash handling, and customer service.
+ Excellent customer service both in person, in writing, and over the telephone, ensuring all patrons are welcome, and all events are as accessible as possible.
+ Knowledge of ticketing scaling and promotional deals.
+ Computer skills: proficient in Microsoft Office Suite, Spektrix (or similar) ticketing software, and other commonly used office software and phone systems.
+ Team based approach to work environment.
+ Ability to maintain a high level of confidentiality.
+ Must be willing to work evenings and weekends and other box office locations.
_Physical Abilities_
+ Must be able to withstand long hours of concentrated physical activity, including reaching overhead and lifting 25 pounds
+ Physical Requirements and Level of Frequency that may be required.
+ Nearly Continuously: Sitting, hearing, talking.
+ Often: Repetitive hand motion (such as typing), walking.
+ Seldom: Bending, reaching overhead.
+ Physical limitations cannot totally hinder the ability to perform tasks
Minimum Qualifications
One year previous box office, customer service, and supervisory experience or related experience required; superior interpersonal skills both in management and group decision-making along with organizational, written and oral communications skills; and a commitment to provide excellent customer service required.
Bachelor’s degree in related area or equivalency (2 years related work experience may be substituted for 1 year of education) preferred.
