This position provides support to one or more members of the Account Service team in the day-to-day management of multiple client accounts, including coordinating client projects with Well Done Marketing creative teams, handling various administrative tasks, conducting research, monitoring client industry news, and ensuring accuracy and timeliness. The position requires a working-level understanding of assigned clients and their associated industries, products and services, and strategic communications plans.
Reports to: Director of Client Services
Position Type: Full-time, salaried
Expected Hours of Work: Monday – Friday, 8:30 a.m. to 5 p.m. or equivalent.
Flexible/hybrid office environment. (3 days in/2 days remote)
Essential Functions:
- Support the Account Lead by managing day-to-day client needs, ensuring smooth project execution, and maintaining proactive communication.
- Foster positive client relationships by providing exceptional service, ensuring regular updates, and assisting in issue resolution when needed.
- Plan and manage project tasks, timelines, and deliverables, ensuring smooth project progress.
- Coordinate internal teams, vendors, and contractors to ensure deadlines are met.
- Monitor project timelines, identify delays, and troubleshoot issues as they arise.
- Assist in developing creative briefs, and leading project kick-off meetings.
- Track key performance indicators (KPIs) and report on campaign effectiveness.
- Schedule and organize internal and client meetings, including preparing agendas and providing follow-up notes and action items.
- Prepare meeting materials, status reports, and client presentations.
- Provide administrative support such as mailing, courier services, and tracking media and advertising deliverables.
- Act as a host for visiting clients and agency events as needed.
- Conduct industry, competitor, and market research to provide insights that inform client strategies.
- Stay updated on client-related industry trends and national media news.
- Assist with gathering vendor estimates and creating project budgets.
- Support project billing and financial reconciliation processes.
Skills & Experience:
- 1- to 3-years of previous marketing experience required; advertising agency experience a plus
- Degree in marketing, advertising, public relations, or a related field preferred
- Strong customer service and communication skills
- Proficiency with budget and time management
- Ability to work as part of a team
- Proficient in Microsoft Office and Google Suite of products
- Experience with project management software
- Familiarity with Adobe Creative Cloud and WordPress CMS are a plus
- Strong time management skills, including experience working independently and remotely
Work Environment:
Flexible work environment blending on-site and remote work leveraging technology, standard office equipment and communication tools and activities to meet the fast-paced and fluid demands of agency operations.
Physical Demands:
This position requires extensive time on a computer independently running project management software, utilizing various communication tools, and interacting in a dynamic agency environment. The employee is frequently required to sit for long periods of time.
Travel:
Travel is limited but may be required for client projects and meetings or professional development.
