Job Description:
The Accounts Payable/Accounts Receivable (AP/AR) Specialist at Meade Engineering is a key member of the finance team responsible for managing the company's billing, payments, and financial record-keeping. This role ensures the accurate and timely processing of invoices, payment disbursements, and collections. As an AP/AR Specialist, you will work closely with internal departments, clients, and vendors to maintain Meade Engineering's financial integrity and support the firm's operational goals. This position requires extensive experience in financial operations, strong leadership skills, and a proactive approach to process improvement.
Job Duties:
Accounts Payable (AP)
- Oversee the processing and recording of vendor invoices, ensuring proper coding and timely approval.
- Lead the verification of bill accuracy and resolve discrepancies with vendors, subcontractorsor internal teams.
- Issue purchase orders and oversee vendor management.
- Manage the scheduling and preparation of payments through our online payment system.
- Maintain comprehensive records of accounts payable transactions for audits and reporting.
- Review and oversee employee expense reports and expense management system. Ensure timely reconciliation of employee expense reports and credit card reconciliations.
- Oversee the reconciliation of subcontractor statements and resolution of outstanding issues.
Accounts Receivable (AR)
- Supervise the preparation and issuance of client invoices, ensuring accuracy and adherence to contract terms.
- Monitor and manage outstanding accounts, driving timely follow-ups on overdue payments to maintain cash flow.
- Oversee the application of payments to client accounts.
- Collaborate with the finance team and clients to resolve complex billing discrepancies.
- Generate and analyze aging reports, providing actionable insights and status updates to management.
General Financial Support
- Identify, develop, and implement process improvements to increase efficiency and accuracy.
Minimum Qualifications:
- Bachelor's degree in accounting, finance, or a related field.
- 7+ years of experience in accounts payable, accounts receivable, or general accounting roles
- Advanced proficiency with accounting software (e.g., QuickBooks, BILL.com, or similar platforms).
- In-depth knowledge of AP/AR processes, employee expense management, and financial reconciliations.
- Detail-oriented with a high degree of accuracy in financial data entry and analysis.
- Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Exceptional communication and interpersonal skills for effective vendor, client, and internal team collaboration.
