Aitheras Aviation Group, LLC is a leading provider of Air Ambulance services, committed to delivering exceptional patient care and ensuring safe and efficient medical transport. We are seeking a dynamic and experienced Aircraft Parts and Records Coordinator to join our team in Cleveland, Ohio.
The Aircraft Parts and Records Coordinator is responsible for overseeing all Corridor activity and transactions, daily reconciliation of trip flight sheets, as well as parts inventory stock, rotable returns, and status of all parts and tooling, as well as identifies competitive pricing among various vendors and MRO’s, and suppliers, driving cost and shipping savings and reduced lead times on high use parts. Also responsible for assisting with the completion of maintenance Work Orders.

Minimum requirements:
- High School Diploma or GED, college or university education preferred, or relevant experience in an aviation-related field that relates to managing records and/or parts. Minimum of 2 years direct related experience.
- Familiarity with aviation terminology.
- Ability to read, analyze, and interpret aircraft part numbers, flight sheets, and quotes, as well as documents specific to aircraft parts, such as parts disposition tags, 8130 and 8110 forms, and invoices.
- Excellent written and verbal communication skills.
- Proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
- Strong knowledge of Microsoft Office) as well as specific aviation related software (Corridor, CAMP, etc.).
- Strong knowledge of FAA regulations, medical transport standards, and safety protocols.
- Excellent leadership, communication, and problem-solving skills.
- Ability to work collaboratively in a fast-paced, high-pressure environment.
DUTIES AND RESPONSIBILITIES:
- Collaborates with the Director of Maintenance and Lead Mechanic to order parts for AOG, next day, and common stock as required.
- Maintains excellent record keeping of all orders and core returns.
- Verifies all parts ordered for aircraft on parts programs (Pro Parts, JSSI, MSP, ESP, etc.) are correctly routed through the proper representatives.
- Performs proper incoming parts inspection and paperwork, as well as quality assurance practices per the Aitheras Aviation GOM and GMM, including proper tagging and identification of parts.
- Coordinates and tracks all core returns for proper credit.
- Develops and maintains relationships with existing and new parts vendors and identifies any potential discounts and incentives when available.
- Reconciles daily trip flight sheet times and cycles sent in by crews, and, when errors are noted, reaches out to flight crews for corrected and updated sheets.
- Enters updated times and cycles into the Maintenance Tracking program, (i.e., CORIDOR, CAMP, CMP, FlightDocs, etc.)
- Updates all Maintenance Due Lists and send to the Director of Maintenance and VP of Aircraft Maintenance for review.
- Audits and updates the Parts Room stock at BKL.
- Identifies any parts or cores that can be sold or quarantined, depending on status, age, and disposition.
- Tracks and controls condition and status of life rafts and life vests at all locations (where applicable)
- Meets with Director of Maintenance and VP of Aircraft Maintenance to advise of any needs, discrepancies, or updates that would drive cost or operating efficiencies.
