- Prepare invoices, reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
- Coordinate and direct office services, such as records, departmental finances, budget preparation, and housekeeping, to aid After Sales and Service Manager.
- Answer phone calls and direct calls to appropriate parties or take messages.
- Prepare responses to correspondence containing routine inquiries.
- File and retrieve corporate documents, records, and reports.
- Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
- Maintain customer records using automated systems.
- Display extensive working knowledge of Service standards and practices, including product details and company services offered.
- Conduct research, compile data, and prepare papers for consideration and presentation to After Sales and Service Manager.
- Compute and compare cost of services.
- Prepare quotes, provide information as requested with management final approval.
- Understand the scheduling process and start scheduling technicians to job sites.
- Communicating with supervisors, peers, or subordinates or with persons outside the organization.
Requirements and Education
- Microsoft Office 365 software – Word, Excel, Outlook, PowerPoint (if applicable)
- This position reports directly to the After Sales and Service Manager.
- This position is considered regular, full-time, and requires a minimum in-office schedule of 40 hours per week. This may also include occasional travel.
- Confidentiality, integrity, dependability, and cooperation.
- Valid driver’s license and dependable transportation.
- Observe and comply with AVC’s rules and regulations.
- Bi-lingual (Spanish) a plus.
- Must agree to (and pass) a background check, physical (if applicable), and drug screening testing.
- This position requires continuous training.
- Associate degree or comparable work experience.
