SUMMARY:
This role will provide administrative support to the President & CEO and other departments as assigned by President & CEO to ensure smooth operation of the Habitat for Humanity of Greenville County Administrative Office.
The ability to interact with staff (at all levels), volunteers, donors and external entities in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
ESSENTIAL DUTIES:
Perform all functions as follows:
Administrative
- Responsible for heavy calendar management using Microsoft Outlook to coordinate a variety of complex executive meetings. This will require interaction with both internal and external constituents, including staff and board
- Assist the President and other executive staff members in preparation, dissemination and management of communications and reports. This will require excellent editing and proofreading skills.
- Prepare agendas, materials, follow up items and make arrangements for committee, board, and other organization meeti
- Perform duties of receptionist for the Administrative Offices which includes greeting and announcing guests, answering and routing phone calls to the appropriate person/department and signing for incoming packages and notifying appropriate staff that package has arrived.
- Responsible for monitoring and tracking inventory for office supplies, postage/ink, copier, kitchen/bathroom products and purchasing products in a timely manner.
- Management of internal office maintenance requests.
Development
- Provide administrative support to the Development department as outlined below.
- Provide support to the day-to-day management of the donor database which includes data entry, donation coding, fulfilment of requests for information, and timely administration of donor acknowledgement letters.
- Provide support to COM (Collaborative Operating Model), manage direct marketing program that is in collaboration with Habitat International (mail lists/reports)
Family Services
- Provide administrative support to the Family Services department as outlined below.
- Screen pre-qualification forms.
- Track pre-qualification, eligibility and program application information
- Answer phone calls and emails regarding program information and provide appropriate referrals to other community agencies as needed.
- Ensure complete case files, including verification and eligibility documentation
- Communicate with memos, letters and phone calls to applicants to communicate program requirements and benefits, and to encourage applicants to make progress toward homeownership
SKILLS AND QUALIFICATIONS:

- HS Diploma or equivalent required; Bachelor's Degree preferred.
- Two years related experience and/or training; or equivalent combination of education and experience.
- Experience with database management a plus but not required. Knowledge of Adobe Creative Suite also a plus but not required.
- Advanced working knowledge of Microsoft Office applications, including Outlook, Word, Excel and Power Point, as well as social media applications.
- Willingness to seek out, learn, and adopt new technology solutions within the organization.
- Must demonstrate strong interpersonal, speaking and writing skills.
- Must be able to effectively communicate information and work with a diverse group of individuals.
- Must have the physical ability to lift and move supplies weighing up to 25 pounds
