JOB SUMMARY
This role will focus on ensuring drug and alcohol compliance under federal regulation and company policy. Assist in ensuring the employer and employees comply with DOT/FAA’s Drug and Alcohol Testing regulations and the Company Drug Free Workplace Policy. Assist in educating all team members on drug and alcohol program compliance and maintaining all documentation to ensure compliance to eliminate violations and improve safety while deterring use and or misuse.
ESSENTIAL FUNCTIONS/DUTIES
•Assist in administration of DOT and Non-DOT drug testing program according to federal regulations and company policy.
•Coordinates with Human Resources, Managers, Vendor and Applicants to ensure all DOT and Non-DOT pre-employment tests, policy acknowledgments, notification and acknowledgments (J Question), and PRIA is received timely and prior to hire date.
•Assist in managing the DOT/FAA quarterly random testing program and Non-DOT monthly random testing program.
•Works closely with LOA Coordinator and Field Resources to ensure communications regarding post-accident and return to duty tests are communicated, and drug and/or alcohol tests are completed according to policy.
•Efficient maintenance of records and process monitoring, both internally (managers and employees) and externally (Clinics, MRO, vendors, etc.).
•Initiate, tracks and maintains supervisor training in LMS and SharePoint.
•Tracks and maintains collection site compliance, obtaining necessary log books, proficiencies and certifications; prepares Memorandums for Record (MFR), request affidavits for all collection site errors, and maintains MFR’s with appropriate records.
•Assist with drafting drug and alcohol communications materials including fact sheets and community facing publications, data reports, and articles for peer review.
•Prepares and maintains employee drug and alcohol testing files, assuring accuracy, compliance and confidentiality.
OTHER DUTIES
Non-Essential Functions:
•Works on special projects and performs other job-related duties as needed.
•Assist in facilitation and preparation of Drug & Alcohol Program presentation at New Employee Orientation.
•Identifies communication and operational issues arising during day-to-day administration activities/contact with employees and proposes solutions to the manager as appropriate.
QUALIFICATIONS
•Education:
•High School diploma required, Bachelor’s degree preferred or equivalent in experience
•Understanding of DOT Rule 49 CFR 40 and 14 CFR Part 120
•Skills:
•Strong technology background including MS Office Suite and Internet.
•Prior knowledge of principles and practices of workplace substance abuse program administration.
•Strong organizational and analytical skills required.
•Strong attention to detail and ability to multi task.
•Ability to work independently as well as in a team environment.
•Strong written and verbal communication skills.
•Ability to effectively and professionally present information and respond to questions from management, employees, vendors and agencies.
•Well-developed ability to provide clear, effective, timely and constructive feedback to candidates, employees and leadership.
•Must have a drive for perfection and uphold the highest ethical standards.
•Must maintain a high level of confidentiality and discretion.
•Able to remain calm, confident and compliant in a fast-paced environment.
• Experience:
•3-4 years’ experience preferred or relevant drug and alcohol program administration

Working Conditions:
Work is normally performed in a typical interior/office work environment.
Serves as a backup on-call 24/7 by way of cell phone for any Drug & Alcohol related questions and incidents.
