Reports to: Senior Manager, Advancement Operations
Purpose:
This role provides essential oversight of fundraising data that informs the effective identification, cultivation, solicitation, and stewardship of donors, provides benchmark data to the Feeding America network, and supports the Direct Response program. This role is responsible for monitoring and maintaining the data health and quality of the donor database in Salesforce and works closely with the Senior Manager of Advancement Operations and departmental leadership to identify areas for optimization in data entry processes and propose and implement solutions. This role also works closely with the Advancement Operations Associate to review gift entry data for accuracy and consistency.
As part of the Advancement Operations team, the role is expected to provide excellent customer service when responding to internal and external inquiries while maintaining the highest level of data integrity and security.
Responsibilities:
- Database Administration and Management: Oversee data integrity protocols to maintain accurate donor records. Practice and foster consistent record keeping and analysis across various technologies. Maintains the integrity of donor data within Salesforce through necessary maintenance and data hygiene with data originating from multiple sources. Leads development efforts to ensure data security compliance through all channels and that GBFB meets the Payment Card Industry Data Security Standard (PCI DSS). Oversees maintenance of Salesforce and third-party platforms (Classy, Apsona, Pardot) related to fundraising and marketing/communication efforts and data.
Develops and disseminates data management, Salesforce, and Advancement Operations related standard operating procedures (SOPs). Manages data migration to/from database. As needed, creates new donor records, appeal and gift codes, and other revenue tracking information. Works in cooperation with development and marketing teams to initiate and manage data appends to Salesforce with necessary updates to emails, addresses, ages, and other demographic information that provides requested intelligence on donors. Ensures that all donor data is maintained securely.
- Direct Response Program: Responsible for data request and suppression files for the Direct Response program, including the managed donor and direct mail program and segmented Harvester Circle program, and for the Newsletter data files. Responsible for coordinating with and supporting Marketing Director and Marketing vendor to ensure segmentation of mid-level and major donors for stewardship and cultivation for the major donor pipeline.
- Gift Entry: Working closely with the Advancement Operations Associate, reviews all gift batches before final entry, monitors progress on daily gift batch import from the lockbox, supports regular review of the lockbox files, and fosters a close relationship with the Finance team on all gift entry processes and reporting.
- Reporting: Responsible for regular internal reports for database health and data quality, monthly financial reconciliation reports, and annual Feeding America network related reporting (QPR and NAR).
- Other: Serves as an active member of the Advancement team, contributing to the refinement of processes and procedures. Provides on- and offsite support for GBFB events and other activities as needed. Assists Donor Services Associate with data entry as needed during peak periods and reviews data entry for quality control and accuracy performed by others. Assists with requests and donor inquiries during high volume periods. Supports GBFB’s Digital Transformation by representing the Advancement Team in the Data Management Working Group.

Qualifications:
- Associate degree required. Bachelor’s Degree preferred.
- At least three years of full-time professional experience in donor services, advancement services, advancement operations, database management, data analytics or comparable field.
- Proficient in use of CRM databases. Experience in Salesforce preferred.
- Digital competency, including demonstrated proficiency in Microsoft Office platforms (Word, Excel, Outlook).
- Available to work occasional evenings and weekends.
- Genuine appreciation of GBFB’s mission and the ability to communicate it.
- Must be a primary resident of Massachusetts, Rhode Island or New Hampshire
- This role is subject to GBFB’s Hybrid Work Policy, which is subject to change from time to time, and the Advancement Hybrid Schedule for signature events.
Work Environment/Physical Demands:
- Ability to sit minimum of 3 hours.
