Responsibilities:
- As a Title Administrator, US Operations, you can expect to work collaboratively with internal and external customers on receipt, review & management of title documentation in conjunction transactions processed in any of our Retail line(s) of business. Our goal is to meet customer expectations in accuracy and timely processing. This role reports to the Manager, Contract Administration
- Review motor vehicle title related correspondence required to secure our security interest in assets being leased/financed for accuracy prior to Contract Administration proceeding with booking of standard, non-standard and complex financial transactions to ensure legal enforceability and adherence to company policies.
- Ensure the company’s security interests (Title when applicable) in the equipment have been established.
- Analyze title correspondence to ensure customer intentions are reflected in the document package and work with our Commercial teams to translate the customer’s needs into a correct and timely solution.
- Execute title correspondence on behalf of the company.
- Act as the last line of defense for adherence to company Know Your Customer policies as well as various state, federal, and provincial regulations.
- Follow up on original title until in house with us a lienholder or owner
- Obtain notarization for title documents when presented
- Release all titles when paid off
- Send lien release letters upon request
- Send repossession docs with titles upon request…work with Litigation and Recovery and Asset management
- Photocopy all titles received and send them to imaging, update multiple systems with title details
- Ensure proper tracking of outstanding titles into the appropriate systems for post-booking tracking and follow up for originals.
- Ensure the information is received in conformance with business & program requirements and company title policies.
- Receive and handle inbound correspondence & inquiries from dealers and customers to provide title expertise on any title related inquiries both pre and post booking.
- Interface cross-functionally with areas such as Sales, Sales Support, Credit, Legal, Litigation & Recovery, Asset Management and Operations to resolve pre- and post-booking title related issues.
- Contribute to department efficiencies by identifying bottlenecks and contributes to the formulation of solutions/improvement.
- Contribute to ongoing policy and procedure review and development.
- Be able to work in multiple systems simultaneously.
- Take the initiative to seek and participate in formal and informal training opportunities to enhance your knowledge and value to the company.
- Stays current on related regulatory and judicial matters and recognizes when these matters influence existing practices and recommends changes as needed.
- Able to interact with key stakeholders to educate on the various requirements across the jurisdiction (City, State, County) we transact within the US
- Flexibility and willingness to assist other operational departments when volume is low is required.
Requirements:
- Bachelor’s Degree or equivalent professional experience
- 1+ year(s) experience in the financial services industry or in a title administrative role is preferred
- Knowledge and proficiency in leasing/financing of motor vehicle titled assets preferred
- Knowledge and proficiency in title administration related requirements
- Demonstrated success in current and former positions
- Ability to work in a fast-paced environment, with cross-functional stakeholders at different levels
- Customer-Centric mindset
- Detail oriented, High level of accuracy in own work
- Strong verbal, written and inter-personal skills are critical
- Ability to thrive under pressure, while exercising good judgment and willingness to make decisions.
- Ability to overcome objections and develop sound relationships with stakeholders.
- Ability to work cross-functionally across teams and influence decisions outside of traditional span of control.
- Time management, and prioritizing
- Candidates possessing experience working with motor vehicle titles, loans, financing is a huge plus
- Experience working with financial institutions and/or working with titles at a car dealership would be helpful
- Strong communication skills, attention to detail, and a customer-centric mindset are key
- Job Level: Beginner (1-3 years)
