Job Introduction

This is a Part-Time, benefits-eligible position. You'll work 32 hours a week (Monday through Thursday). This is a primarily-remote position, but you will be required to work in our East Lansing office Mondays and Tuesdays from 1:00 PM to 3:30 PM (and as business needs required). You will be off on Fridays.

The Administrator will assist the department by performing any combination of entry-level clerical duties requiring general knowledge and the application of various work methods and procedures.

Job Summary

Essential Duties and Responsibilities:
- Answer general inbound calls and place outbound calls with the goal of increasing business, customer satisfaction, and customer retention.
- Follow basic procedures and scripts, using fundamental knowledge of company and projectdirectories, services, and products to assist customers and clients.
- Type or generate letters and other documents as necessary.
- Assist in the maintenance of the office record and filing systems.
- Retrieve, log, and route correspondence (faxes, email, letters, etc.).
- Prepare outgoing or log incoming shipments.
- Ensure document control of mail and project correspondence.

Minimum Requirements:
- High School diploma or equivalent with 4+ years of experience, or Associate degree with 2+ years experience.
- May have additional training or education in area of specialization.
- Works on assignments that are moderately difficult, requiring judgement in resolving issues. Understands implications or work and makes recommendations for solutions.
- Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks.
- Able to research and resolve most non-routine issues independently.
- Communicates on complex or sensitive issues or draft such responses for supervisor or team lead.

Education and Experience Requirements

May need to lift up to 20-25 lbs. May be asked to assist on-site in Flint Twp. office occasionally. SharePoint and Smartsheet experience preferred.

Must have reliable transportation. The ideal candidate will be self-motivated, intuitive, organized, and able to adapt quickly to changing demands on time and work efforts. Must be able to problem solve and undertake projects independently while successfully executing multiple tasks in a fast paced, time sensitive, dead-line oriented environment. Understand broad knowledge of departmental and company practices to assist leadership team and staff while exercising judgment on critical nature of information and confidentiality. Ability to work as a team member as well as independently. Regular attendance.

Maintains office records, administrative lists, furniture/equipment inventories, contacts listings and various reports.

Administrative responsibilities as pertains to security badge system and alarm systems.

Maintains and verifies completion of health screening forms and the daily janitorial cleaning checklists as needed

Assists in verification of hours worked and years of service requests as it relates to FMLA/LOA.

Conducts quality checks of both employee and temporary employee timesheets, including tracking of corrections and reports as necessary

Provides weekly on-site office assistance for the East Lansing location as well as provides on-site assistance for the Flint location as needed.

Conducts quarterly reviews of the business continuity plan and oversees tasks required of the administrative department in relation to the plan.

Provides back up to Administrative Support Staff.

Types/generates and mails letters and other documents as directed.

Responsible for contacting and coordinating necessary maintenance, repairs and disposals.

Responsible for coordinating and overseeing building projects as assigned by management.

Administrator of past employee and past contingent workers equipment returns

Assist in collection of required data for auditing reviews.

Checks stock for appropriate levels & anticipates supply needs, placing & verifying supply orders as needed

Learn and comply with company standards and operating procedures.

Identifies potential opportunities to improve administrative department services.

Responsible for adhering to all established safety standards

Performs other duties as may be assigned by management

Minimum Requirements:

HS Diploma / GED required + 2 years of relatable experience.

Pay Transparency

Maximus compensation is based on various factors including but not limited to job location, a candidate's education, training, experience, expected quality and quantity of work, required travel (if any), external market and internal value analysis including seniority and merit systems, as well as internal pay alignment. Annual salary is just one component of Maximus's total compensation package. Other rewards may include short- and long-term incentives as well as program-specific awards.
