Administrative Support Specialist - Haugland Group LLC

Haugland Group, a privately-owned Long Island, New York-based civil infrastructure and energy construction company has an immediate opportunity for an Administrative Assistant to join our team.

Haugland Group has an immediate need for an experienced administrative assistant with strong organizational and time-management skills to assist management in our fast-paced Inwood, NY office location. We are looking for a self-motivated individual, with the ability to adhere to direction.

Key Functions

• Set up quotes and jobs in the system
• Maintenance of internal databases and filing systems
• Order and maintain office operation supplies
• Organize and report weekly payroll
• Perform accounting/ bookkeeping tasks
• Enter AP invoices and allocate appropriately
• Prepare weekly AP check run
• Reconciliation of cash and credit card transactions
• Oversee petty cash transactions
• Create Monthly Customer Invoices and record associated AR payments
• Receive, organize, and submit time sheets
• Complete ad hoc projects when directed, and other duties as assigned

Desired Qualifications

• 2+ years of relevant experience
• Strong proficiency in Microsoft Office and standard computer applications
• High level of accuracy and attention to detail
• Display a high level of initiative, effort, and commitment towards completing assignments in a timely manner
• Ability to identify problems; determine accuracy and relevance of information; use sound judgment to generate and evaluate alternatives, and make recommendations
• Effective communication skills, interpersonal and organizational skills, and a strong work ethic
