Position Overview: We are seeking a dedicated and detail-oriented Compliance & Procurement Coordinator to join our dynamic team. In this role, you will work directly with the Supervisor and teammates to support daily operations across various Corporate Services areas, including Compliance, Information Technology, Risk Management, Procurement, Human Resources, and general office administration.
Key Responsibilities:
- Collaborate with the Supervisor and Property Management team to provide baseline information, cost estimates, and other relevant data necessary for preparing bid and RFP packages.
- Secure services and purchase programs in a timely and cost-effective manner, ensuring compliance with MSA specifications and utilizing best practice-based processes. Negotiate effectively with providers to meet quality standards within allowable cost structures.
- Manage vendor relationships and assist in building effective strategic partnerships.
- Play a role in the integration of new business and perform additional special project work as assigned by the Supervisor.
- Support the Supervisor and Department Head with ad-hoc administrative tasks, including schedule management, research, appointment setting, and other tasks to support department goals.
- Collect, distribute, and file department mail, materials, and other supplies upon receipt.
- Coordinate logistics and prepare conference rooms for meetings, including venue, food service, agendas, and other materials. Ensure the removal of all materials and equipment left behind after meetings. Assist in documenting and distributing meeting minutes as directed.
- Maintain an awareness of the responsibilities of other administrative positions, including switchboard and reception operations, and provide assistance as needed. Provide corporate office switchboard coverage as assigned.
- Act with discretion and maintain confidentiality of sensitive information.
Qualifications:
- Strong working knowledge of Microsoft Office Suite, including Word and Excel.
- Exceptional attention to detail, along with strong organizational and outstanding multi-tasking abilities in all aspects of work.
- Excellent written and verbal communication skills.
- Ability to adapt and adjust to handle multiple priorities effectively.
- Eagerness to learn and take initiative in a fast-paced environment.
- Minimum of two years of administrative or similar experience
