Founded in 1898, the American Association of Colleges of Osteopathic Medicine (AACOM) is the leading voice for the education and training of physicians who practice osteopathic medicine in settings ranging from primary care to pediatrics. We support our member colleges of osteopathic medicine in their efforts to attract and train individuals who are fueled by a desire to make a difference in our healthcare system by treating the whole person and building a future emphasizing health and wellness for all people.

Job Description
POSITION SUMMARY
AACOM seeks a highly organized and resourceful Administrative Support Specialist to provide exceptional administrative support to the Office of the CEO and Executive Leadership Team. This role requires outstanding communication, multitasking, and problem-solving skills, combined with the ability to handle confidential information with the utmost discretion and professionalism. The ideal candidate thrives in a fast-paced, dynamic environment.
WHAT YOU’LL DO
The Administrative Support Specialist will play a crucial role in providing high-level support to the CEO and Executive Leadership Team, ensuring seamless day-to-day operations. Key responsibilities include managing and maintaining executive calendars, coordinating meetings, and handling travel arrangements with precision. Acting as a gatekeeper, the specialist will prioritize communications, prepare agendas, reports, and presentations, and handle sensitive information with the utmost discretion.
This role involves serving as a primary point of contact for internal and external stakeholders, drafting correspondence, and facilitating communication across teams under the guidance of the Chief of Staff. The specialist will organize travel, meetings and events, ensuring flawless execution of logistical details. Administrative duties include managing budgets, tracking expenses, maintaining records, and overseeing office supplies. The role also encompasses support for strategic initiatives and special projects, enabling efficient decision-making for the leadership team.

- Has proven experience supporting C-suite or senior executives.
- Excels in Microsoft Office Suite and executive-level correspondence.
- Demonstrates strong organizational, time management, and communication skills.

- Comfortable working with existing and emerging AI tools
- Holds an associate or bachelor's degree in business administration or a related field (preferred).

COMPENSATION & BENEFITS
This is a full-time non-exempt position with health, dental, vacation and 403(b) benefits. The hourly rate for this position is $34 to $37 an hour at an estimated 37.5 hours per week.
REMOTE / HYBRID
This position is fully remote with some travel required.
