S 3 , Inc. has an immediate requirement for an Administrative Support Assistant to support programs on Redstone Arsenal, AL.
Position Description:
The Administrative Support Assistant role involves serving as the Subject Matter Expert (SME) for MS Office Suite Applications in support of SHIELD PMO.
Responsibilities :
- Arrange and manage schedules and calendars, strategize travel plans and itineraries, and monitor travel arrangements.
- Support board reviews and processes.
- Prepare, arrange, coordinate, communicate and execute meetings, conferences and other events.
- Prepare and format correspondence, reports, briefings, meeting minutes and other content drafted by management, technical personnel and other staff.
- Assist in providing graphics support and illustrations to be included in documents.
- Effectively oversee and monitor repetitive and high-priority inquires, encompassing tasks, data inquiries, and submission requests.
- Transmitting documents and data files, provide electronic records management, maintaining a document and data repository, and establishing a workspace for document coordination.
Experience/Skills Required :
- Requires a BS/BA degree and two years of relevant experience or a High School diploma and 6 years of relevant experience.
- Must be 4 out of 5 proficiency with MS Office Suite.
- Requires experience handling various administrative tasks, including analyzing, researching, and coordinating documentation, briefings, spreadsheets, and reports in previous roles as an Administrative Support Assistant.
- Must have managed and tracked recurring and priority requests for information to include: action items, data calls, and submission requests.
- Must have prepared and formatted correspondence, reports, briefings, meeting minutes and other content drafted by management, technical personnel and other staff.
- Experience coordinating with internal and external stakeholders, managing calendars, conference rooms, and various administrative processes and supporting board reviews and processes.
- Experience transmitting documents and data files, providing electronic records management and document and data repository support, and creating document coordination workspace.
