Job Description
We are a large Commercial General Contractor seeking highly motivated individuals to join our team as Administrative Support Assistant.
The Administrative Support Assistant plays a key role in the success of our company. You are the first person with whom our guests come into contact when they call or enter our office. You will be responsible for greeting guests, making them feel comfortable and welcome. You will be part of the Martin Harris team, helping to create a culture of collaboration, cooperation, and trust with our clients, vendors and subcontractors.
Responsibilities
- Receive and announce all company guests. Assist them in getting to the proper area.
- Answer incoming phone calls and direct them to the proper extensions.
- Communicate clearly and effectively with Office Administrator and Facility Care Lead w/changes, updates and enterprise affecting items.
- Check daily voicemail messages.
- Distribute checks to Subcontractors.
- Receive, sort, open, date stamp and distribute all incoming mail into Associate mailboxes.
- Log all incoming checks daily and submit sheets to accounting.
- Assist in maintaining associate contact lists and keeping all associates updated on a weekly basis.
- Assist in updating and maintaining completed and current project information spreadsheets in shared drive.
- Distribute all incoming faxes via email.
- Update and maintain Associates mailboxes and maintain a clean appearance in the mailroom.
- Order all kitchen and cleaning supplies, paper products and front-end office supplies.
- Call for service on office or kitchen equipment, cleaning, landscaping, and window cleaning services.
- Cost comparison tracking for office supplies & services.
- Monitor and maintain postage machine necessities.
- Run monthly postage reports for accounting.
- Prepare UPS and FedEx shipping labels for Associates as needed. Call for Pick-up.
- Receive and distribute all incoming packages immediately upon arrival.
- Receive and distribute incoming and outgoing submittals, plans, etc.
- Set up meeting/conference room bookings as requested.
- Assist various departments, i.e., creating spreadsheets, reviewing emails, stuffing envelopes, shredding, setting up binder books, correspondence, etc.
- Train back-up staff on phone and front-end duties.
- Track received company gifts and send appropriate Thankyou’s.
- Community Outreach – Track volunteers, prepare gifts and assist with events.
- Track and order Name Plates and Name Tags for new or promoted Associates.
- Track and order Business Cards for all Associates – to include review and approving proofs.
- Match receipts to the Corporate AMEX Statement for the Executive Assistant.
- Must be a Self-Starter, manage multiple tasks, and work independently while functioning as part of a cooperative team.
- Other duties as assigned by the Office Administrator.
- Hours: 7:30 am to 5:00 pm Monday through Thursday and 7:30 am to 2:00 pm on Fridays. Additional hours may be required for events.
Qualifications
- Mandatory pre-hire drug screening.
- Maintain a professional appearance – Dress Code Policy Enforced.
- Professional vocal qualities (pitch, volume, and pace variability) are required.
- Great communication skills are a must.
- Proficient in MS Word, Excel, Outlook, and Internet.
- Willing to learn MHC procedures and be a member of the overall MHC team.
- Willing to work as a team member to assist the team in critical deadlines and tasks.
- Dedicated and cares about the work they are doing.
- Self-starter, well organized, on time and reliable.
- This position requires a physical lifting capability of 10-50 pounds and requires repetitive hand movements as well as physical dexterity and mobility.
