Position Summary
The Administrative Specialist is responsible for various aspects of the daily operations and ongoing administration of the Strategic Partners department and bank programs. The core responsibilities are research, administration, communication, organization, and operations, but also include ongoing support of compliance, bankruptcies, reporting, and technology.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Function as a point of contact among department executives, management, program managers, process analysts, and other external partners as assigned.
- Organize and maintain legal notifications and other mail directed to the department.
- Manage inbound and outbound calls, including tracking and reporting.
- Supporting Program Managers during site visits.
- Prepare weekly, monthly, or quarterly reports as assigned.
- Format information for internal and external communication - memos, emails, presentations, and reports as assigned.
- Take minutes during meetings as assigned.
- Support Bank management during regulatory examinations and audits.
- Communicate relevant project information to appropriate parties, resolve and/or escalate issues in a timely fashion.
- Other duties as assigned.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Experience with MS Office Suite. Familiarity with common office equipment and software tools (e.g., e-calendars, copy/fax machines, video conferencing software, etc.)
- Pleasant and confident demeanor when dealing with colleagues, clients, and customers.
- Consummate office professional, with exceptional verbal/written communication skills, who is highly organized and able to work independently to finish assigned projects.
- Ability to exercise discretion and maintain client and customer confidentiality.
- Outstanding organizational and time management skills
- Highly responsive and willing to take ownership of issues through resolution.
- Good interpersonal skills, including the ability to work well in a team or individually.
- Ability to perform well under pressure and meet deadlines.
Experience as an Office Administrator or similar role preferred, experience in finance or banking, a plus.
Compensation
The salary offered for this position is $21-24/hourly based on the applicants' qualifications and experience. Benefits package includes Health, Dental and Vision insurance, 401(k) with company match, life and disability insurance, supplemental insurance, EAP, phone reimbursement and PTO. Quarterly bonuses are available.
