About the Job
One Federal Solution is seeking a Secretary(Administrative Specialist) to provide key administrative support to out Federal Government client. This role involves clerical duties, meeting coordination, records management, and general office operations. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently in both onsite and remote settings.
Duties:
- Print and prepare materials for director's meetings, ensuring all required documents are ready in advance.
- Schedule meetings, create agendas, facilitate meeting logistics, and compose minutes.
- Manage office filing systems, including maintaining the Significant Activity Report (SAR) binder, updating the Director's phone book, and processing packages for the Director.
- Operate and maintain video teleconference units, handle incoming and outgoing mail, and screen phone calls.
- Process and track SF182 training forms, including no-cost training requests and completed training documentation, using Excel and Teams for accurate record-keeping.
- Manage conference room schedules and availability using SharePoint, and ensure that all conference equipment (VTC, speakers, laptops) is functional.
- Coordinate employee in-processing and out-processing, including creating new employee files and updating out-processing records.
- Input employee data into systems like iCompass LMS, adding new employees and removing those who have out-processed, while maintaining supervisor information and learning scores.
- Serve as a liaison for visitor management, ensuring guest building access through the Visitor Management System (VMS), and coordinate parking arrangements with WHS parking office.
- Oversee office automation and ensure that all equipment in office spaces is functional and up-to-date.
- Maintain office supplies, manage inventory, and reorder items as needed to support smooth office operations.
- Review records management practices, archiving old employee files and ensuring compliance with retention policies.
- Process outdated files for weekly burn bag disposal, ensuring secure handling of sensitive documents.
Qualifications:
- High School Diploma required; Bachelor's degree preferred.
- Previous experience as a secretary or administrative assistant, with strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Active Secret Clearance is required.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work independently and manage multiple tasks in a fast-paced environment.
- Friendly and professional demeanor with the ability to interface with staff at all levels.
