Federal Reserve Bank of MinneapolisThe Federal Reserve Bank of Minneapolis is seeking to hire a motivated and experienced Administrative Specialist II/III, within our Technology Division's Shared Business Services team.
The Shared Business Services team supports the ninth district (Minneapolis Federal Reserve Bank) Technology Division of 200+ employees. We invite applicants who are invested in making a difference through their contributions.
As the Administrative Specialist in the Shared Business Services area your role is key in providing ongoing and consistent administrative support to the division and our business partners both internal and external to the Federal Reserve Bank. In this role you will support all Technology Division objectives either directly or indirectly.
The Bank believes in flexibility to balance the demands of work and life while also recognizing the necessity of connecting and collaborating with our colleagues in person. Onsite work is an essential function of this position, and you are expected to be in the office 3 days per week for meetings and team collaboration.
Please note: There is only one vacancy for this position. The position may be filled at either Administrative Specialist level II or III. Please review the required qualifications listed below to be considered forAdministrative Specialist II OR III.
Responsibilities:
Proactively manage the Technology Division shared mailbox. This may include, but is not limited to, responding to routine inquires for information, gathering and/or researching data, sending correspondence and emails.
Coordinate with our business partners and process onboarding/offboarding requests. These requests may include access provisioning, ordering equipment, token/key distribution, etc.
Assist with maintaining our SharePoint sites.
Proactively paying vendor invoices in a timely manner.
Maintain electronic files, records, and meeting room’s calendars.
May arrange business travel, coordinate meeting arrangements, and/or track expenses.
Processes internal orders/requests (facilities, travel reimbursement, office supplies, training, etc.)
Prioritize projects based on the need and goals of the team.
To be considered for the Administrative Specialist II level you must meet the following qualifications:
Associate degree AND one year of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office OR
Bachelor's degree AND six (6) months or more of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office OR
High School diploma AND three (3) years of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office.
To be considered for the Administrative Specialist III level you must meet the following qualifications:
Associate degree AND three (3) years of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office OR
Bachelor's degree AND one (1) year of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office OR
High School diploma AND (5) years of progressive and directly related work experience. Must be proficient using a variety of software applications including Microsoft Office.
In addition to the above qualifications, the following are desired at either level:
Attention to detail: you will bring your expertise in detail orientation to keep our team running smoothly; and keep accurate records.
Collaboration: You enjoy supporting the work of individual employees, specific teams, and an entire Division.
Communication: You have excellent people skills and collaborative and results oriented communication skills—both verbal and written
Organization: You are organized, both in your digital and physical workspace, as well as tracking inventory and updating records.
Time management: You have proven time management and prioritization skills, juggling multiple tasks for our team, you’ll need to prioritize your work and plan your schedule—both in the short and long term.
Technical literacy: You have current experience with Ariba or Concur. Experience in Microsoft Excel, Microsoft calendar management, Microsoft Teams, some SharePoint experience.
Willingness to learn: You are open to learning, reviewing our processes, bringing solution-oriented ideas that will help our team and enhance our culture.
Additional Information:
Salary range for Administrative Specialist Level II: $43,900 - $54,915 - $65,900 Annual
Salary range for Administrative Specialist III: $49,300 - $61,657- $74,000 Annual
Salary offerwill be based on qualifications/experience of the candidate, alignment with market data, the needs of the position, our total compensation package, and internal equity.
