About the Position
This role is advanced administrative/executive work performing a variety of highly responsible, independent, detail-oriented, and time-sensitive functions for the Fire Chief. For more information on job responsibilities, please see below...
+ Provide high-level administrative and professional duties to support the Fire Chief using independent decision-making and problem-solving skills.
+ Serve as the initial point of contact for the Fire Chief for employees, outside agencies, media, other government entities, and County residents.
+ Exercise tact and diplomacy to analyze situations and develop an effective course of action.
+ Respond to or direct requests received for the Fire Chief in any form (mail, phone, email, etc.) to staff for appropriate handling, and tracking assignments; ensuring they are completed in a timely manner.
+ Responsible for managing the Fire Chief’s calendar by using independent judgment to arrange appointments with appropriate County staff and community members.
+ Coordinate executive-level internal and external meetings, internal/external appointments, conferences, and speaking engagements, and assist in the preparation of presentations, talking points, and information required. Takes notes and distributes accordingly.
+ Organize, support, coordinate, and consult with the Fire Chief on agenda items, Administrator assignments, Director assignments, Board assignments, and special projects.
+ Independently prepare correspondence and format/proof documents prepared for the Fire Chief’s signature.
+ Facilitate development, submission, and tracking of eCAR and eGenda items.
+ Coordinate all facets of travel for the Fire Chief and other senior staff as assigned, including registration, airlines, lodging, and preparation of associated agenda, information packets, or presentations.
+ Ensure timely submittal of associated expense reporting.
+ Serve as backup for other Fire Department Administrative Specialists in their absence.
About the Schedule
Work Hours:
+ Full-Time, 40 hours per week.
+ Monday - Friday, 08:00 a.m. to 05:00 p.m.
About You
Minimum Qualifications:
+ High School Diploma or Equivalent Education -and- 2 to 5 years of clerical, secretarial, and computer experience.
+ -OR- One (1) year of college coursework in Business from an accredited College or University may substitute for one (1) year of work experience.
Preferred Qualifications:
+ Associate’s degree from an accredited college or university in Liberal Arts, one of the Social Sciences, Public Administration, Business Administration, Accounting, Finance, Economics, or a related field.
+ Previous experience with Emergency Services.
+ Certifications in National Incident Management System (ICS-100, ICS-700, ICS-800).
CJIS Clearance: The successful candidate will be subject to an extensive background check(s) as a part of the hiring process.
About Everything Else
Starting Pay Range: $21.85 - $22.50, based upon experience.
