*We are on a 9/80 schedule (9 hour days Monday - Thursday, alternating Fridays off, opposite Fridays 8 hour days). This is a full-time on-site position. This role will start out as a temporary position with the option of going regular full-time in 90 days.
Major Position Responsibilities:- Impacts the quality, timeliness and effectiveness of the team; uses discretion to modify work practices and processes to achieve results or improve efficiency
- Completes work with a limited degree of supervision
- Manages calendars and independently schedules appointments
- Screens incoming calls and correspondence and responds independently a majority of the time
- Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, and monitors compliance
- Arranges complex programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget
- Directs complex and confidential preparation of records such as agenda, notices, minutes, and resolutions for department meetings
- Takes and transcribes dictation; composes and prepares confidential correspondence, reports, and other complex, statistical and technical documents
- Creates and maintains complex and confidential databases and spreadsheet files
- Arranges complex and detailed travel plans and itineraries
- Books travel arrangements; compiles documents for travel related meetings
- Completes daily, weekly, monthly tasks, reports and projects
- Prepares and processing expense reports for reimbursement for various staff members
- Catering meeting meals to include morning, afternoon, and evening reservations when requested
- Maintains office supplies and kitchen/break room supplies in building location
- Distributes mail
- Additional tasks as directed by local leadership staff

Basic Qualifications:- Bachelor’s degree or equivalent preferred
- 5 - 8 plus year’s related administrative experience
- Able to work in fast paced, flexible environment
- Self-starter with foresight to complete tasks
- Good communication skills (verbal and written)
- Customer Service – able to deal with various levels of staff and personalities
- Ability to maintain confidentiality
- Multi-tasking and Prioritization
- MS Office proficiency – Intermediate/Advanced with Word, Excel, Power Point
