HYBRID: Administrative Services Manager/Sales Field Administrator
Meritage Homes is looking for someone to fill a dynamic hybrid role. This role will have two core functions:
Administrative Services Manager to perform senior level Executive Assistant responsibilities to support our Division leadership team. This role requires the ability to exercise initiative, discretion, judgment, tact, and diplomacy with sensitive, complex, and highly confidential information in a very fast-paced environment. The incumbent is responsible for providing advanced, diversified, and confidential administrative duties that require broad and comprehensive experience, skill, and knowledge of organizational policies and practices.
- Calendar management and scheduling
- Travel planning and coordination
- Copying, collating, binding – desktop publishing
- Report creation
- Plan, coordinate, and administer small and large events
- File (paper and electronic) maintenance and organization
- Presentation development and editing
- Coordinate Web and Video conferences
- Create and manage expense reports
- Compose letters, reports, emails, proposals, as needed
- Mail, phone lists, schedule meetings, process invoices, set up vendors, set up new hire computers and work stations, etc.
In addition, this person will also effectively perform a variety of HR responsibilities, including opening requisitions, conducting background checks, maintaining organization charts, developing and maintaining talent analysis documents, maintaining employee files, conducting new hire orientations, setting up new hires and completing necessary paperwork, preparing new employee announcements and on-board plans, and conducting exit interviews when needed.
Qualifications:
- 5+ years' experience supporting executives.
- College degree preferred, but not required.
- Experience in real estate, commercial, property management, construction or home building industry preferred, but not required.
- Office management experience a plus.
- Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Visio a plus.
- Strong experience developing processes/procedures and process flow documents.
- Exemplary written and verbal communication skills.
- Superior organization and project management skills.
- Ability to maintain confidential and proprietary information and data.
- Ability to work independently, think critically, and exercise delegated decision making
- Proactive – anticipates needs and takes action.
- Flexible – able to excel in a fast paced environment with changing priorities.
Sales Field Administrator
The primary objective of this position is to provide support the Sales Counselors in a Defined Sales Area, enabling them to concentrate on sales conversion. Responsibilities include maintaining the community's appearance, overseeing spec inventory, conducting spec completion walks, managing MLS inventory, and overseeing community signage.
Sales Field Administrator will:
- Support Meritage sales operations and sales counselors in a Defined Sales Area including but not limited to:
- Inventory Management
- Coordinate and sign off Final Walks with Construction
- Determine if a home is ready for TourFactory and ready to be on MLS
- Oversees MLS listing and status oversight, including reviewing listing for accuracy, optimized listing verbiage and updated images and coordinate with MLS team for any necessary changes.
- Review Showcase Home summary vs Kiosk for Cancelled homes
- Manage Appraisals and be point for access to homes for appraiser.
- Maintain log of closed homes for appraiser
- 3rd Party inspection coordination
- Coordinate with marketing team to ensure proper upkeep and presentation around community and directional signage.
- Manages placement and upkeep of homesite signage. (sold, available, etc.).
- Manages Sales Architect to ensure accuracy.
- Competition Shops
- Compile a monthly update for salespeople and management in Designated Selling Area.
- Coordinates with the operations team to ensure the model homes are presented in a manner reflective of Meritage commitment to quality and showcasing our homes to realtors and prospects.
- Coordinates lockbox technology to provide access to realtors/agents.
- Supports and coordinates with field marketing on prospecting efforts largely focused on agents.

Qualifications:- 5+ years' experience supporting executives.
- College degree preferred, but not required. High School Diploma or equivalent is required.
- Minimum 2 years of home sales support. New homebuilder experience preferred.
- Office management experience a plus.
- Advanced level technical skills with Microsoft Office tools, Word, PowerPoint, Excel, and Outlook required. Visio a plus.
- Proficiency in Salesforce preferred.
- Preferred to have experience in local MLS systems.
- Strong experience developing processes/procedures and process flow documents.
- Exemplary Oral/Written Communication and Interpersonal skills; ability to communicate effectively with a high degree of professionalism.
- Superior organization and project management skills.
- Ability to maintain confidential and proprietary information and data.
- Ability to work independently, think critically, and exercise delegated decision making
