About the Job
The Administrative Services Coordinator I directly supports the International Center for Spinal Cord Injury (ICSCI) Clinical Director and supports administrative operations and procedures to ensure efficient and effective operation of ICSCI.
Responsibilities:
- Provide administrative support for the ICSCI Clinical Director including, but not limited to, calendar management; scheduling meetings; making travel arrangements; taking and disseminating meeting minutes; tracking licensures; ensuring pertinent membership renewals and professional/medical subscriptions; compose and proofread letters, memos, and other written documents; update curriculum vitae; and prepare evaluation documents; distribute mail; manage incoming telephone calls and messages; and send/distribute faxes.
- Coordinate and submit pertinent travel reimbursements and invoices for the ICSCI Clinical Director.
- Serve as the primary point of contact for the ICSCI Clinical Director with internal and external partners, such as Medical Records, Finance, Human Resources, and external vendors and collaborators.
- Maintain administrative documents and files for the ICSCI Clinical Director.
- Provide support to the ICSCI Clinical Director by coordinating, implementing, and finalizing presentations, lectures, manuscripts, and chapter submissions. Coordinate necessary research items (articles, books, etc.), develop necessary materials and figures, and ensure proper formatting.
- Procure office supplies for the administrative and operational staff as well as the ICSCI Clinical Director.
- Create the weekly therapist note deficiency report and communicate notes needing immediate attention to the leadership team.
- Coordinate NIRS submissions with other departmental administrative coordinators.
- Assist Supervisor, Administrative Services in the preparation and planning of special departmental projects or events.
EDUCATION: |
- High School Diploma or GED required.
- Bachelors’ degree preferred.
EXPERIENCE: |
- Minimum two years of administrative support or other relevant experience required, to include a minimum one year of experience with data management.
- Administrative experience in a healthcare, medical, or clinical setting is preferred.
