QUALIFICATIONS
A minimum of a high school, business school or GED diploma. A minimum of two years of experience in general office procedures. An understanding of property maintenance. An understanding of basic vehicle mechanics and able to identify major repairs. Knowledge of Microsoft Office and phone systems. Good problem-solving, critical thinking and decision-making skills. Must be able to initiate and manage multiple tasks in a timely and accurate manner. Must be able to clearly communicate verbally and in writing. Must posses a valid NJ Driver's license.
RESPONSIBILITIES
- Maintenance of EXXON & GPS database
- Maintenance of vehicle files, titles, and registrations
- Coordinate/Drive vehicle repairs with programs as needed
- Prepare vehicles that are being removed or added to the fleet
- Maintain inventory of vehicle safety kit supplies
- Maintain building grounds at Parsippany Office
- Complete monthly inspections of agency vehicles and NJ DMV inspections as requested
- Timely and successful completion of maintenance requests at owned residences, offices and facilities.
- Complete weekly Interoffice Mail-Run
- Answer phones, take messages and direct calls to the appropriate staff.
- Greet visitors and announce them to appropriate staff
- Sort and distribute all incoming mail, post all outgoing
- Sending, receiving and distributing fax transmissions
- Ensure all copy machines have paper; troubleshoot error messages coordinate with IT as needed
- Maintain meeting room schedules
- Set up & clean-up for quarterly staff meetings & outside meetings as requested
- Report safety/fire hazards, building repairs to the Director of Operations
- Daily checks of all bathrooms, kitchens, and lobby.
- Maintain kitchen supplies; inventory & ordering of all paper & janitorial goods
HOURS
Monday through Friday – 9 AM to 5 PM
Reports to
Director of Operations at 1160 Parsippany Boulevard, Parsippany NJ
