We are currently hiring for a Administrative and Operations Assistant based in Austin, Texas. This position is in-person, Monday through Friday, 8am-5pm.
Position Summary
The Administrative and Operations Assistant will assist with the coordination of daily operations and supports the Operations Manager by providing high level administrative support. This position also assists the Policy Specialist in serving as the primary support and coordinator for the organization’s advisory council on individuals with mental illness (PAIMI), comprised of volunteers from across the State, who meet together quarterly. The Administrative and Operations Assistant will also work closely with executive leadership and key agency staff on assigned projects.
Physical/Mental Requirements
- Uses personal computer approximately 7-8 hours per day.
- Uses telephone and email to communicate with staff, clients, and other professionals, approximately 1-3 hours per day.
- Spends approximately 1-6 hours per week in meetings.
- Sits approximately 7-8 hours per day.
- Requires working under a moderate degree of stress (time constraints; deadlines; multi-tasking high-level projects and issues; complex issues; and conflict resolution).
- Minimal travel, generally local. (less than 10%)
Essential Functions
- Provide administrative support, such as data entry, filing, shredding, and document preparation.
- Assist with organizing, coordinating and producing reports and work products of others including summarizing data from multiple persons, locations and resources.
- Provide administrative support for the organization’s advisory council, such as member correspondence, event planning, and attending quarterly meetings.
- Assist with the coordination of building facility maintenance.
- In partnership with the Operations Manager, maintain organization emergency preparedness plan documents.
- Coordinate and schedule arrangements, as directed, for assigned meetings, both in person and virtual.
- Maintain thorough, and complete records including minute taking and database entry.
- Receive incoming calls and route to staff as needed.
- Provides backup to reception when needed.
- Establish personal credibility throughout the organization, in order to be an effective support person.
- Develop and maintain collaborative, cooperative relationships with internal and external stakeholders, including vendors, the board of directors as well as employees at all levels of the organization.
- Perform other duties as assigned.
Required Qualifications
- High School Diploma or GED plus three years of full-time secretarial or administrative assistant experience.
- Excellent interpersonal, relationship-building and collaboration skills to be able to work effectively with others inside and outside of the organization; relationship builder with the flexibility and finesse.
- Exceptional detail-orientation, follow-up skills and organizational skills.
- The ability to multi-task and work under challenging conditions while meeting and prioritizing deadlines.
- Demonstrated ability to manage workload so that services are delivered timely and appropriately.
- The ability to work well independently but also in a team environment.
- Th ability to maintain strict confidentiality in all aspects of this position.
- Working knowledge of Microsoft Outlook, Word, Excel and PowerPoint.
- High level of commitment to service excellence.
- High degrees of integrity, ethics and judgment are a must.
Preferred Qualifications
- Associate’s degree in business administration, communications or related field.
- Demonstrated success working with persons with disabilities.
