Job Description: As an Administrative Assistant at Clearmind Technology, you will play a vital role in ensuring the efficient operation of our Accounting and Sales departments. You will be responsible for handling tasks related to accounts receivable, accounts payable, sales quoting, purchasing, and other general office administration duties. This position requires strong organizational skills, attention to detail, and the ability to work collaboratively in a dynamic environment

Key Responsibilities:

• Manage accounts receivable and accounts payable tasks, ensuring timely processing and accuracy.
• Assist in preparing and processing sales quotes and purchasing orders.
• Provide administrative support to Accounting and Sales teams by managing records, databases, and client information.
• Maintain organized and up-to-date financial and sales records.
• Communicate effectively with team members and other departments to facilitate efficient operations.
• Handle general office administration tasks such as scheduling, filing, and supply management.
• Assist CEO with administrative tasks as needed.
• Respond to incoming calls, emails, and other correspondence professionally and promptly.
• Assist in preparing presentations, reports, and other documentation as required

Qualifications:

• High school diploma or equivalent; additional office administration or accounting qualifications are advantageous.
• Previous experience as an administrative assistant or in a similar role is preferred.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Strong organizational and multitasking abilities.
• Excellent written and verbal communication skills.
• Attention to detail and problem-solving capabilities.
• The ability to lift and transport objects weighing up to 50 pounds up and down stairs is an essential function of the job. Reasonable accommodations may be made to enable individuals with disabilities to perform these essential functions.
