Administrative Manager
Job Summary
Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to administrative functions of assigned department's internal and external customer service, staff management and financial management operations pertaining to areas including (but not limited to) data/records maintenance, supply management, transcribing/dictation, word processing, telecommunications, office equipment maintenance, and office support. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.
Responsibilities

1. Manage the administrative functions of day-to-day operations and procedures of Deputy Chief of Information team.
2. Maintain all budget accounts, purchasing, billing, payroll, vendor and tenant contracts, and journal entries.
3. Prepare all financial reports, including monthly budget statements, sales tax report, payroll, purchase cards; participation reports, and required documents.
4. Monitor budgets and expenditures to ensure limitations are not exceeded.
5. Review and understand all University and departmental policies and procedures, federal regulations, and contractual obligations. Coordinate, manage, and monitor all required implementation procedures.
6. Maintenance of membership sales, roster maintenance, and budget.
7. Coordinate details such as purchasing and personnel and team building activities, document control, account coding for financial transactions, and manage the maintenance of departmental records.
8. Assist with purchasing and billing.
9. Annual financial reporting.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.
Master’s degree in a related area may be preferred.

Preferences
Department strongly prefers:
- Experience in managing monthly reports, including budget, purchasing card, and payroll.
- Exceptional customer service skills.
- Familiarity with the Microsoft Office suite of programs is a must, particularly a knowledge of Excel and how to manage complex interconnected spreadsheets.
