About the Job
As an Administrative Manager for Civil & Environmental Consultants, Inc. (CEC), you will play an important role in the business operations by ensuring that support activities are carried out efficiently and accurately, working collaboratively with the Administrative team and Office Lead, and contributing to organizational goals.
You will manage and assist an administrative assistant team that is responsible for the following:
- Document and report preparation and reproduction
- Verification of quality review requirements for project deliverables
- Shipping/distribution of plans, reports, and documents
- Coordination of reproduction equipment maintenance and contracts
- Logistics planning for and execution of meetings, events, trainings, and office activities
- Office supplies inventory and ordering
- Front desk reception
- Incoming and outgoing correspondence
- Maintaining the project electronic filing system
The responsibilities of this position also include:
- Mentoring the Administrative staff by setting development goals, regularly checking in on their progress, and completing year-end performance evaluations
- Supporting the Office Lead in communication between corporate personnel and their associated functions such as accounting, operations, marketing, human resources, and IT.
- Draft/review documents and presentations, suggesting changes where appropriate
- Provide administrative support for incoming and outgoing correspondence
- Communicating effectively with clients in person, on the phone, and in writing
- 10-15 years of experience as an Administrative assistant
- 5+ years of experience managing an administrative team
- High School diploma - preferred B.A./B.S. in English, Marketing, Business or related degree;
- Proficiency with Microsoft Office Products and Adobe;
- Excellent communication skills;
- Ability to speak and write professionally;
- Ability to multi-task in order to meet short and long term deadlines;
- Ability to work with technical professionals and manage workflow expectations and deadlines;
- Ability to anticipate workload issues and proactively take steps to assure work is completed on time;
- Attention to detail;
- Problem solving and conflict resolution skills;
- Ability to work beyond our core business hours when necessary to meet deadlines;
- Ability to manage confidential information with discretion and tact.
