Job Summary
The Administrative Assistant is responsible for providing administrative support across the organization, ensuring smooth operations in a fast-paced environment. This position plays a crucial role in office management, compliance, project accounting, contract management, and accounts payable processes. Also, supports the bid process from start to finish ensuring bids are submitted accurately and on time. We are looking for an individual with a strong attention to detail that is able to follow through on tasks and meet deadlines to assist the Administration Department and the Estimating Department.
Responsibilities
Duties include handling receptionist duties, filing and scanning tasks, processing certified payrolls, managing contract documents, and assisting in accounts payable tasks.
Participate in the organization and distribution of bidding documents, and organize and maintain pertinent data, document revision control, and bid files.
Skills
Excellent communication, strong attention to detail, organizational, and time management skills. Should be able to handle multiple tasks simultaneously and prioritize them effectively. Proficient in Procore, Bluebeam, Outlook, Word, Excel, Adobe, Zoom, and AutoCad (viewing).

Experience
The Administrative Assistant has 2 years of experience in administrative support. Often has a high school diploma or equivalent required, bachelor’s degree or higher preferred.
