The Administrative Coordinator plays a key role in providing comprehensive administrative support to a dynamic and diverse academic department. This position serves over 20+ faculty, 15+ lecturers, 10+ postdoctoral researchers, 50+ graduate students, and 7 staff, ensuring the smooth operation of daily activities and strategic initiatives. The coordinator will be responsible for a variety of essential tasks including website management, course planning, event coordination, staff training and orientation, and overseeing departmental office logistics. Additionally, the role involves preparing materials for faculty promotions and appointments, as well as other administrative tasks as needed.

Job Description

Key Responsibilities:

• Administrative & Office Support: Provide general administrative assistance to faculty, researchers, students, and staff, ensuring efficient daily operations. Manage the onboarding and orientation of new staff, students, and temporary employees. Handle office assignments, access requests, key inventory, and front desk operations while coordinating with Wharton Operations for classroom reservations and maintenance.

• Website Management: Responsible for maintaining and updating various departmental websites. Manage content for digital display signage to promote departmental events and initiatives.

• Course Planning and Coordination: Support the Course Coordinator with tasks related to the department's concentrations and minors. Attend regular meetings and training to stay informed on academic procedures and deadlines.

• Event and Project Management: Responsible for planning, scheduling, and supporting special events, seminars, conferences, and faculty meetings. Lead departmental projects.

• Purchasing and Reimbursements: Handle purchase orders (PO) and Non-PO processes and prepare reimbursements.

• Faculty Affairs: Prepare and submit materials for faculty promotions and appointments.

• Additional Duties: Perform other administrative duties and tasks as directed to support the department's goals and objectives.

Qualifications:

• High School Grad/GE Degree with 5-7 years of related experience or equivalent combination of education and experience is required. Bachelor's Degree and 3-5 years of related experience is preferred.

• Strong organizational and multitasking skills with attention to detail.

• Excellent interpersonal and communication skills to work independently as well as part of a team with faculty and staff while demonstrating proactiveness, attention to detail, and the ability to multitask.

• Ability to work independently and collaboratively in a team environment.

• Proficiency in Microsoft Word and Microsoft Excel is required.

• Prior experience in academic administration or similar administrative roles is preferred.

• Experience with website development and Adobe Acrobat applications is desired.
