Job Description:
Administrative Coordinator
Summary:
This position plays a crucial role in providing comprehensive administrative support to the US Vyndamax Team Lead and Leadership team.
The primary responsibilities include managing calendars, coordinating travel and expenses, organizing meetings, handling budgets, and collaborating with other administrative assistants to ensure the smooth operation of the Vyndamax team.
Responsibilities:
Provide administrative assistance to the US Vyndamax Leadership Team, including intricate calendar management, meeting room coordination, and travel and expense report support
Schedule and organize 1:1s and department meetings, manage meeting logistics as required
Demonstrate the ability to predict and proactively resolve conflicts with a diplomatic approach
Collaborate with external vendors for meeting scheduling and office space requirements
Utilize Ariba for managing Purchase Orders, assist budget coordinator in invoice payment tracking
Assist in various marketing projects as needed
Coordinate with Administrative Assistants for coverage within the group, supervise Assistants, and manage workflow efficiently
Qualifications:
High school diploma / GED required
A minimum of 2-3+ years of related administrative experience
Proficient in the use of Microsoft Word and Excel (Pivot Tables, Vlookup)
Outlook Calendar management experience
Strong time management skills
Concur experience preferred
Budget experience preferred
Schedule:
