About the Job
We are seeking a Senior Administrative Coordinator to support the CIO's office, primarily managing the CIO's daily schedule. This role requires strong diplomacy, confidentiality, multitasking, prioritization, communication, and time management skills to balance meetings with staff and vendors while safeguarding time for strategic planning and business development.
Key Responsibilities:
- Proactively manage the CIO's calendar and assist other leaders as needed, anticipating scheduling conflicts.
- Coordinate travel arrangements and manage expense reporting.
- Draft, review, and distribute communications on behalf of the CIO.
- Handle phone and email inquiries, providing information or directing to appropriate contacts.
- Prepare meeting agendas, take minutes, and track action items.
- Oversee logistics for on-site meetings and events, including catering and guest management.
- Manage administrative projects and maintain department resources.
- Implement efficient administrative workflows and support process improvements.
- Maintain department contact lists and shared documents.
- Perform additional administrative tasks as needed.
Qualifications:
- Excellent organizational and planning skills.
- Strong written and verbal communication abilities.
- Proficient in managing multiple priorities and time effectively.
- Ability to maintain confidentiality while interacting across all levels.
- Proficient in MS Office, SharePoint, and travel management systems.
