About the Job
We are looking for an Sr Administrative Coordinator responsible for supporting the office of the CIO with primary responsibility for managing the day-to-day planning of the CIOs time. May require involvement in critical and sensitive meetings which will require strong diplomacy, confidentiality, multitasking, prioritization, communication, and time management skills to ensure the balance of availability for meeting staff, vendors as well as protecting time for strategic planning and business development activities.
A typical day might include:
Proactive calendar management for CIO (and occasional support for other designated leaders) using thorough understanding of department and leadership priorities. Anticipation of the needs of leaders/teams to manage and problem solve all logistical and scheduling conflicts is required.
Make travel arrangements, reservations and manage expense reporting.
Compose, review, edit and/or send out regular e-mail communications (e.g., informative, invitations, etc.) in support of the CIO and department. In addition, this role will handle printing, scanning, and distribution hardcopy or emails as requested.
Answer phone calls (or e-mails) on behalf of CIO, and provide appropriate information to callers or connect them with the appropriate people.
Draft agendas and attend those requested, taking minutes and follow-up actions.
Manage meeting action tracker which should be updated and reviewed weekly.
Act as the CIO proxy to follow up on/chase information as needed.
Act as the contact for offsite meetings and events (please see below).
This role is fully responsible for all logistics and execution of on-site meetings and events for the team including: The anticipation of catering needs and appropriate recommendations for catering for CIO sponsored meetings, Greeting and escorting of guests, Acting as the contact for off-site meetings and event planning.
Responsible for CIO assigned administrative projects related to the team such as organization analysis, organization charts, e-mail distribution lists, new hire and staff planning activities etc.
Demonstrate a good understanding of company policies, procedures, resources and where to find them, acting as a key point of contact for the department.
Implement a highly organized and efficient administrative workflow, identifying, developing, and/or supporting administrative process improvements.
Independently execute solutions to issues and be focused on continuous improvement.
Actively manage department contact lists, files, and documents, updating content on department shared drive and sites.
Any other ad hoc administrative assignments.

Have excellent organizational, planning and tracking skills with technical knowledge necessary to perform day-to-day task related activities.
Demonstrate excellent written, verbal, and interpersonal communication skills with the ability to effectively interact with team members with tact and diplomacy.
Can handle multiple priorities with excellent time management skills (both project and self).
Ability to interact across all levels of employees and management while maintaining confidentiality.
Strong digital literacy and proficiency in MS Office, SharePoint, expense, and travel management (Concur), and teleconference systems is required.
To be considered for this opportunity, you have at least an Associate degree and 5+ years of administrative experience. A Bachelors degree is preferred.
