Job Description:
Coordinates and assists with internal operations headquarters, provides essential support
across a broad spectrum of various administrative, Human Resources (HR), and operational functions
within the organization. Reports to the Director of Finance and Administration.
Essential Duties and Responsibilities
• Administrative Coordination: Assist with day-to-day administrative tasks such as office
management, facilities maintenance, and inventory management.
• Scheduling and Calendar Management: Coordinate scheduling for CEO, senior staff, and
volunteers.
• Human Resources Assistance: Support HR activities including recruitment coordination,
onboarding logistics, and assisting with HR projects including cultivation of organization culture.
• Executive Support: Assist CEO and Senior Director of Executive Office and Compliance with
all administrative activities, as well as Board relations. Includes collateral preparation, document
management, and scheduling support.
• Meeting, Conference, and Travel Planning: Arrange meetings, conferences, and travel logistics
for team members and executives, ensuring smooth execution, including managing pre-meeting
activities, and follow up on meeting action items. This will include handling of shipped materials
to conferences.
• Process and Policy Improvement: Identify opportunities for process improvement and advance
suggestions for best practices for operational excellence. Assist in developing and editing standard
operating procedures (SOPs) and HR policies.
• IT and Systems Support: Liaise with Associate Director of Technology (ADOT) to provide
basic IT support, troubleshoot technical issues, and assist with maintaining office technology and
systems. Assist with implementing new technologies and software solutions.
• Document Management: Organization and management of electronic and paper documents,
discreet research, and facilitation of organization-wide services.
• Project Support: Assist with various projects across departments, helping to coordinate tasks,
track progress, and support project timelines.
• Vendor Management: Help manage vendor relationships, process orders, and ensure timely
delivery of services and supplies.
• General Support: Handle ad-hoc tasks and projects as assigned, demonstrating flexibility and a
willingness to contribute where needed. Support other administration, financial, and operational
activities set by the CEO or DFA.
Qualifications
• College degree or equivalent experience (3-4 years) in administrative/operations and HR.
• Demonstrated high-level professionalism with experience in working with senior staff and
executives.
• Well-developed ability to coordinate multiple tasks and projects cross-functionally effectively
and professionally; ability to prioritize tasks effectively and adapt to change; handle challenges
with professionalism in a fast-paced environment.
• Commitment to and ability to maintain a high level of confidentiality and handle sensitive matters
and documents with utmost discretion.
• Demonstrated problem-solving abilities: experience in identifying challenges and issues, as
well as devising suggestions for resolutions.
• Strong communication and computer skills with proficiency in Microsoft Office programs;
solid email management and internet research skills.
• EXCELLENT attention to detail, and organizational skills.
• Excellent written and oral communication skills.
• Tactful ability to work collaboratively with individuals from broad geographical and cultural
backgrounds.
• Excellent judgment about how to communicate and work with volunteer leadership, stakeholders,
and staff.
• Self-starter who seeks out opportunities to add value to the organization and to team
accomplishments.
• Experience and/or strong interest in working in a hybrid, remote-based environment.
• Knowledge of labor laws, compliance requirements, and practices in HR and operations preferred,
but not required. Interest in learning a plus.
• Understanding of the intersection between operations, HR, and Finance preferred.
• Keen interest in developing professionally in the field of operations/administration.
Travel
Up to 15%, domestic and international
Work Environment
It is an office setting with a moderate level of noise from computers, printers, and light traffic. Only
candidates within the DMV area will be considered, as this position is a hybrid position, with work in office
required 2 to 3 days a week.
Compensation / Pay Rate (Up to): $21.00 - $24.00 Per Hour
