SUMMARY The Administrative Coordinator will be responsible for creating; maintaining and entering in Office Manager all pertinent data for the Autism Programs. The administrative assistant will facilitate and process all purchase orders for the Education Department, support the Vice President of Education Services and staff with all data and records that pertain to the Education Department.
ONGOING DUTIES AND RESPONSIBILITIES
1. Promote a positive image by representing the Education Department and the Achievement Centers for Children in a courteous, professional manner.

3. Promote a team approach within each program and throughout the agency
4. Work in family-centered partnerships with the individuals and families served by the Achievement Centers for Children
5. Practice safe work habits and contributes to ensuring a safe and healthful work environment
a. Ensure the safe, efficient and organized delivery of program support
b. Practice appropriate safety techniques related in Infection Control and Universal Precautions
6. Attend continuing education courses/workshops to keep abreast of new software program and office management that will enhance office systems for the Education Department
7. Foster and maintains good public relations with all community sources
8. Conduct self with professional dignity; understands the importance of good human relation; able to motivate others; and possesses initiative and good judgment.
ESSENTIAL DUTIES AND RESPONIBILITIES include the following. Other duties may be assigned. To successfully perform this job, an individual must be able to perform each essential duty satisfactorily. - Support the Vice President of Education Services; and the Autism Program and TAP staff with typing, filing all documentation and all other pertinent paperwork/correspondence connected to these programs.
- Enroll new students to ensure all health, safety and educational documentation is on file prior to student start date. Maintain annual updates of these documents.
- Manage all initial parent calls for inquiries to school enrollment and services, daily student attendance calls and general parent information calls.
- Coordinate and schedule all Autism Program IEP and ETR meetings with all required individuals, (Parents, School District Supervisor, Ed. Service Center Supervisor, Preschool Teacher, Vice President of Education Services) and any other individuals that are requested to attend.
- Serve as Client Records Coordinator. Ensures confidentiality of all students and families. Responsible for creating, maintaining and entering current file information in Office Manager for each child enrolled in the Autism School Program. Maintain an up-to-date database for easy accessibility of important information of students.
- Manage purchasing of materials and equipment orders for the all programs in the Education Department. Establish and maintain expense database for each fiscal year for all materials and equipment ordered.
- Support the Vice President of Education Services and program staff in the preparation of workshops/seminars (presentation materials, room arrangement, coordination of audiovisual materials, room arrangement, food, etc.).
- Participates with supervisor in developing and implementing an annual plan for professional growth aligned with the annual evaluation and agency goals.
ADDITIONAL DUTIES AND RESPONSIBLITIES
- Provides coverage for the Receptionist during one day a week as well as occasional absences. Duties include but are not limited to: greeting visitors and clients, answer incoming calls.
- Prepares outgoing mail/distributing incoming mail and assists staff with fax transmissions and distributes incoming faxes.
- Checks in clients with using electronic software system and collects payment when indicated in the system, and documents payment accordingly. Notates cancellations and communicates to necessary staff. Assists with new client paperwork.
- Prints sign in sheets and ensures up sheets are up to date.
- Communicates and assists with office supplies ordering ensuring staff have necessary office supplies. Schedules equipment and maintenance repairs when equipment is not operational.
- Opens and closes Westlake when working the front desk by unlocking/locking the building and turning off/on the alarm.
Required qualifications listed below are indicative of knowledge, skills, and abilities required being successful in this position.
Education, Training and/or Experience
- Educational background in Office Administration/Human Resources.
- Two-three years of professional experience in Office Administration/Program Support.
Personal Skills and Abilities:
- Requires the ability to be a self/starter and highly organized.
- Must display initiative, flexibility.
- Must have good interpersonal and communicative skills.
- Must have the ability to be supportive to the staff in the Education Department.
- Must demonstrate and respect confidentiality regarding individual clients, staff and program operations.
Preferred Qualifications
Experience working in human resource/schools in the focus of office administration/support.
Familiarity with special education compliance under IDEA.
