Job Description Summary

The Administrative Coordinator (AC) will oversee educational events including seminar series, trainee research in progress series (TRIPs), recruitment visits and communications for the Penn Cardiovascular Institute (CVI). Duties will include collecting relevant information from the visitors, scheduling and building itineraries, coordinating travel arrangements for the external speakers and faculty recruit candidates, and handling all honorarium and expense reimbursement requests. The AC will collect information regarding new awards and achievements of the Faculty in order to create content for posting on social media and our Penn CVI website. The AC will ensure all content on the CVI website is current and refreshed on a regular basis.


Additional activities may include administrative support to the Director of the CVI and office staff such as creating files, submitting service requests, monitoring office supplies, updating event calendars, assisting with written correspondence, and typing dictations for the Director.


This position has the ability to be hybrid, working no more than 2 days a week from home. The ideal candidate will have strong communication skills, keen attention to detail, and an interest in generating content related to the CVI activities in a creative manner.

Job Responsibilities



+ Assist with educational events (CVI seminars, TRIPs Seminars), including building itineraries for external speakers and assisting with travel arrangements and reimbursements


+ Maintain website for Penn CVI


+ Maintain social media presence for PennCVI. Collect awards and announcements and create content to post on social media.


+ Type dictations and other office duties for the Director of the CVIProvide support for daily operations


+ Maintain smooth daily operations of office supplies and equipment and other misc tasks.


+ Other duties and responsibilities as assigned





Qualifications



+ High School Grad/GE Degree, and 5 to 7 years of experience or equivalent combination of education and experience is required.
